The Office Services and Contracts Support Assistant is responsible for managing office services, supporting contract and insurance documentation processes, maintaining electronic records, and assisting with project and safety-related data entry. The ideal candidate is organized, detail-oriented, and comfortable supporting multiple departments in a fast-paced, team-oriented environment.
JOB RESPONSIBILITIES
Incoming and outgoing mail services Document copying and scanning services Document downloading support services Office supplies management Ordering forms and business cards Insurance certificate collection and processing Contracts, subcontracts, and change order processing Vendor portal information maintenance Electronic filing of documents Project setup information entry Safety audit information organization and data entry Back-up support for the office Receptionist SKILLS Proficiency with Microsoft Office (Outlook, Word, Excel) and document management systems Strong attention to detail and organizational skills Ability to manage multiple tasks and prioritize effectively Professional communication skills and a customer-service mindset
EDUCATION/EXPERIENCE
High school diploma or equivalent required; associate degree or administrative experience preferred 1-3 years of administrative, office services, or contract support experience preferred Knowledge of project management or contract support systems is preferred, but not necessary Rudolph Libbe Inc. is an Equal Employment Opportunity Employer.
