Job Description

The Enid Symphony Orchestra is looking for a Symphony Administrative Assistant who can help keep the music moving while supporting the daily operations of one of Enid's most treasured arts organizations. This role is perfect for someone who enjoys organization, customer service, event coordination, and being part of the excitement of live performances. Located in beautiful downtown Enid, this position offers the opportunity to work alongside a passionate team while helping bring world-class symphonic music to our community. From concert nights to community events, you'll be right in the middle of the action that helps make the magic happen. Overview We are seeking an organized, dependable, and enthusiastic Symphony Administrative Assistant to join our team! This important role supports office operations, concert logistics, patron services, and event coordination for the Enid Symphony Orchestra. As a key point of contact for patrons, musicians, and community members, you will help maintain a welcoming and professional environment while ensuring day-to-day operations run smoothly. This position is ideal for someone who enjoys multitasking, thrives in a fast-paced arts environment, and wants to be involved in the energy and excitement of live music and performances. Responsibilities Run the box office for all concerts and assist patrons with ticket purchases and subscriptions Be available for all concert performances and assist with concert-day operations Assist with rental events as needed, particularly for larger events or when site management staff are unavailable Work closely with the site manager and events coordinator regarding event logistics Answer phones and respond promptly and professionally to emails Provide exceptional customer service to patrons, guests, donors, and community members Conduct rental tours as needed Create invoices and maintain familiarity with rental policies and procedures Keep the organization's website updated with current pricing, policies, and event information Perform data entry and general administrative office tasks Assist with bill payments and help ensure bills are paid on time Make bank deposits as necessary Maintain organized files, records, and office systems Work with the accountant regarding financial documentation and reporting Prepare, print, organize, and file materials for monthly board meetings, including agendas, minutes, and financial reports prepared by the accountant Maintain confidentiality regarding donors, sponsorships, and organizational information Scan music and prepare materials for concerts and rehearsals Conduct errands around town, including distributing posters and promotional materials Prepare and mail organizational materials and correspondence Provide administrative support to the Executive Director and Artistic Director Qualifications Minimum 1 year of demonstrated QuickBooks Online experience Minimum 1 year of experience with: Microsoft Word/Excel OR Google Docs/Sheets Strong organizational and multitasking skills Excellent written and verbal communication abilities Professional and friendly customer service skills Ability to work independently while collaborating with a team Reliable transportation for local errands and event support Ability to handle confidential information with professionalism Availability for all concert dates is required Preferred Qualifications Canva experience Musical knowledge or experience in the performing arts Previous administrative or office support experience in a nonprofit, arts, or event setting Compensation & Benefits Part-time position: 15-20 hours per week $15 per hour Schedule flexibility may be available with advance notice outside of required performances and major events. Concert days are non-negotiable and attendance is required for this position.
