Position Summary The Administrative Coordinator serves as a critical support role within our organization. This position is responsible for customer communications, administrative support, invoicing, scheduling assistance, and ensuring operational tasks are completed accurately and on time. The ideal candidate is highly organized, detail-oriented, dependable, and capable of managing multiple priorities in a fast-paced environment. Responsibilities Answer incoming customer calls professionally and provide exceptional customer service. Create and manage service tickets, work orders, and customer requests. Assist with scheduling and dispatch coordination. Prepare, review, and process invoices accurately and timely. Follow up on customer requests and ensure issues are resolved promptly. Maintain customer records and documentation. Support accounts receivable activities, including confirming invoice receipt when requested. Process purchase orders, receipts, and administrative paperwork. Coordinate communication between customers, technicians, operations, and sales teams. Monitor administrative tasks to ensure deadlines are met. Assist leadership with special projects and reporting as needed. Maintain professionalism and confidentiality in all interactions. Requirements Minimum 2 years of administrative, customer service, office management, or related experience. Strong verbal and written communication skills. Excellent organizational and time management abilities. Ability to manage multiple priorities with attention to detail. Proficiency in Microsoft Office Suite. Ability to learn company software systems. Dependable attendance and reliability. Positive attitude and willingness to support the team. Preferred Qualifications Experience in construction, service, commercial doors, or related industries. Experience with invoicing, scheduling, dispatching, or customer service coordination. Experience with QuickBooks, JobFilez, or similar software. What Success Looks Like Customers receive prompt, professional communication. Invoices are processed accurately and on time. Service requests are properly documented and communicated. Administrative tasks are completed with minimal oversight. Team members can rely on you to follow through on commitments.
