About this Position Provides comprehensive administrative, fiscal, and operational support to the Department of Wellness Sponsored Programs (DOWSP). This role ensures efficient, compliant, and mission-driven services that advance Oklahoma State University's land-grant mission and support grant-funded initiatives. Administrative and Operational Support Assists with implementing and maintaining administrative support activities across all DOWSP programs. Delivers high-quality customer service via mail, email, phone, and in person. Provides accurate information and assistance to individuals contacting DOWSP. Provides direct support to staff serving Accessibility Programs, Community Wellness, and Student Accessibility Services. Supports the DOWSP Leadership with a variety of administrative functions. Manages phone calls, email communications, and inquiries from Oklahomans seeking information and assistance. Maintains office supplies, organizational service accounts, and passwords. Coordinates bulk mailings and administrative logistics. Provides backup support for Facilities Work Orders, phone orders, deposits, and inventory addition/removal forms. Assists with data entry, data collection, and maintenance of contact lists for digital communications and meetings. Fiscal and Procurement Support Assists with purchases and payments using OK Corral. Supports deposits and maintains commitment logs, databases, and procurement records. Prepares, tracks, and follows up on invoices to external partners. Coordinates vehicle rental reservations and equipment purchases. Institutional Impact Ensures compliance with Oklahoma State University policies and procedures. Supports accountability, operational excellence, and audit readiness. Advances OSU's land-grant mission through service, accessibility, and community engagement. Performs additional duties as assigned. Required Qualifications High School/GED (degree must be conferred on or before agreed upon start date)Administrative Support Specialist I:
1 year of clerical/customer service experienceAdministrative Support Specialist II:
2 years of clerical/customer service experienceSenior Administrative Support Specialist:
3 years of clerical/customer service experience Post-secondary education may substitute for years of required experience. Preferred Qualifications Associate's Three (3) years of clerical, administrative, or customer service experience. Certifications, Registrations, and/orLicenses:
Completion of Ambassador Program. Skills, Proficiencies, and/orKnowledge:
Experience in business administration, Public Administration, Human Resources, or a related field. Experience in higher education, government, or nonprofit organizations. Familiarity with Oklahoma State University systems such as Banner, PageUp, and OK Corral. Knowledge of accessibility services and ADA compliance. Experience supporting events, outreach initiatives, or student services. Excellent verbal and written communication abilities. Experience managing multiple priorities with accuracy and attention to detail. Experience maintaining confidentiality and exercise sound judgment.
