Job Description

Business Service Coordinator Reports To:
Vice President of Finance and Operations Employment Type:
Part-Time, Non-Exempt Position Summary The Business Services Coordinator serves as the first point of contact for the Stillwater Chamber of Commerce, providing welcoming and professional experience for members, visitors, and community partners. This position supports daily office operations, assists with administrative and financial tasks, and works closely with the Vice President of Finance & Operations and Director of Membership to ensure efficient and effective Chamber operations. Essential Duties and Responsibilities
  • Welcome, greet, and assist visitors and members at the front desk in a courteous and professional manner
  • Answer and direct incoming phone calls and general inquiries
  • Coordinate reservations and scheduling for the large conference room
  • Process and distribute daily incoming and outgoing mail
  • Maintain office inventory by ordering, receiving, and stocking office supplies
  • Work with the Vice President to assist with daily and monthly Chamber financial activities
  • Collaborate with the Director of Membership to prepare membership invoices and process member payments
  • Maintain organized and accurate records related to reservations, invoices, and payments
  • Perform other duties as assigned to support overall Chamber operations Qualifications
  • High school diploma or equivalent required
  • Previous experience as a receptionist, administrative, or office support role preferred
  • Basic knowledge of office procedures and standard office equipment Skills and Abilities
  • Strong interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • High level of organization and attention to detail
  • Ability to manage multiple tasks and prioritize effectively
  • Proficiency with basic office software, including email, word processing, and spreadsheets
  • Ability to handle financial information with accuracy and confidentiality Work Schedule This is a part-time position, generally 20-25 hours per week, Monday through Friday, during regular business hours. Occasional flexibility in hours may be required to support Chamber events, meetings, or special projects. Work Environment
  • Office-based position with frequent interaction with members, visitors, and staff
