Job Description
Church Secretary Job Description General Information The Church Secretary is a part-time position consisting of 19 hours per week. Hours worked will be performed during regular business hours (8:00 AM to 5:00 PM) Monday through Friday. A regular working schedule will be developed jointly by the Secretary, the Pastor, and the Administration Committee Chairperson. The regular schedule and any permanent changes to the working schedule will be made known to the congregation. Time worked is recorded daily. Bi-weekly payments are calculated based on hours worked. A probationary period of at least 90 days will be observed before a final job offer is made. Performance will be evaluated by the Pastor, the Treasurer, the Administration Committee Chairperson, and any designated representatives of the Board of the Congregation after 90 days and annually. The prospective employee must authorize and pass an OSBI background check. Termination of employment within the state of Oklahoma is considered "at will", meaning either party may terminate employment at any time without cause. Nothing in this document should be construed to alter that status. Every effort should be made by either party to provide at least two weeks' notice prior to termination. Duties of the Church Secretary Practice a high degree of professionalism by maintaining personal reliability, honesty, and confidentiality, dealing with all contacts courteously and expeditiously, and performing assigned duties in a competent and timely manner. Serve as receptionist, answering the phone, returning phone calls, greeting people who come to the church on weekdays, scheduling meetings, maintaining the church calendar, etc.. Prepare official correspondence and written material, including the newsletters, worship bulletins, meeting notices, and letters to visitors, etc.. Prepare monthly and ad hoc financial reports, support meetings of the Church Board, committees, and congregation as requested. Conduct administrative tasks on behalf of the church, such as purchasing supplies, picking up and delivering mail to the Post Office, conducting banking matters, arranging for professional printing, etc.. Maintaining the official church events calendar and assisting with the rental of the church facility. Maintain records for church programs such as the Mobile Food Pantry and prepare and remit appropriate reports as required by the program. Assist individuals seeking help from the church in accordance with procedures set forth by the Pastor and Outreach Committee, maintaining records of the same. Maintain the church's online and public presence by making updates as needed to the official church website, social media, church directory website, and shared documents. Prepare the media presentations for weekly worship and special services. Serve as Financial Secretary to the congregation under the direction of the Treasurer.
This includes:
posting contributions, initializing bank deposits, preparing monthly financial statements, and quarterly giving statements for contributors. Preparing vouchers for all bills and payments to be signed by the appropriate member of the congregation, writing checks to be signed by the Treasurer, Chariman of the Board , or designated Trustee. Managing payroll, calculating, and remitting payroll taxes. Keeping accurate financial records in accordance with procedures set forth by the Treasurer. Assist the Pastor and other church leaders as directed. Perform other reasonable and related tasks as assigned by the Pastor and Administration Committee Chairperson. Minimum Qualifications Christian Faith and Commitment High School Diploma or Equivalent Excellent administrative and organizational skills Proficient in Microsoft Office Suite Bookkeeping experience Strong communication and interpersonal skills Ability to work independently and as part of a team Knowledge of Church operations and proceduresPay:
