This role is essential in ensuring accurate recordkeeping, efficient supply flow, and smooth communication between office and field teams.
Position Summary:
This position provides comprehensive administrative support, including document management, scheduling, client onboarding, and internal coordination. A key responsibility of the role is maintaining and managing inventory systems, ensuring accurate tracking of materials, supplies, and equipment used across construction and maintenance operations. Responsibilities Procurement Purchase and coordinate delivery of maintenance supplies, appliances, equipment, and materials for multiple properties and construction projects Coordinate large-scale purchasing for construction projects, ensuring timely delivery and cost efficiency Schedule and coordinate rental of large equipment needed for construction and renovation projects Evaluate vendor quotes and negotiate pricing, terms, and delivery schedules Inventory Control Process and fulfill maintenance work orders and purchase requisitions Track inventory levels for maintenance and property supplies Maintain accurate inventory records to prevent overstocking or shortages Implement bulk purchasing strategies to reduce costs and improve efficiency Construction Administrative Support Support onboarding of new construction clients Prepare and send welcome packets, contracts, and project documentation Dispatch field personnel to job sites as needed Maintain communication between field teams and project managers Provide administrative support to internal safety teams or committees
Qualifications:
3+ years experience in purchasing, procurement, or administrative support (construction or property management preferred) Strong organizational and communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) Experience with construction/property management software (e.g., Builder Trend, AppFolio, or similar) Ability to manage multiple priorities in a fast-paced environment Strong attention to detail Bilingual preferred
