Job Description

Job Summary We are seeking a dynamic and detail-oriented Administrative Assistant - II to join our team in Beaver, PA! This vital role offers an exciting opportunity to support daily office operations, enhance organizational efficiency, and provide exceptional customer service. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities with professionalism and discretion. Your energetic approach and dedication will help streamline administrative processes, manage multiple responsibilities, and contribute to a positive office environment. This position is perfect for someone eager to grow their administrative expertise in a fast-paced setting. Responsibilities Manage the Executive Director's calendar, including scheduling meetings, calls, and travel across multiple time zones. Coordinate complex travel arrangements, including itineraries, lodging, and expense documentation. Serve as a primary point of contact for the Beaver office, handling calls, inquiries, and correspondence. Draft, format, proofread, and distribute correspondence, reports, and meeting materials. Maintain organized digital and physical filing systems, including confidential organizing and member records. Maintain trackers and databases related to organizing activities, assignments, and reporting. Support onboarding and administrative setup for new organizers, Coordinate department meetings, trainings, and conferences, including preparing materials and tracking follow-up items. Provide professional customer service to internal staff, local unions, members, and external stakeholders. Handle sensitive and confidential information with discretion
Qualifications & Skill Requirements:
High school diploma or equivalent required; additional education in business or administration preferred. Minimum of 3-5 years of administrative support experience, preferably in a union or organizing environment. Strong organizational and time management skills with the ability to prioritize competing demands. Excellent written and verbal communication skills. Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently and collaboratively in a fast-paced environment.
Preferred Qualifications & Skills:
Experience supporting organizing, labor unions, or building trades. Familiarity with collaboration tools such as Microsoft Teams and SharePoint Experience with data tracking systems, CRM platforms, or learning management systems
Pay:
$25.48 - $30.68 per hour
