Work Pattern:
Seasonal workload structure with higher flexibility required during VIP residence periods and more predictable flexibility during non-residence periods Overview We are seeking a proactive, polished, and highly reliable professional to support the day-to-day coordination of a private estate in Blue Bell, PA and provide local logistical, lifestyle, and hospitality support to visiting Korean VIPs and related family members. This role has two different workload patterns. During VIP residence periods, the role will be more active and hands-on. The candidate will help prepare the estate, coordinate local arrangements, support dining, shopping, appointments, errands, household requests, and communicate closely with Korean executive support staff, internal company representatives, household staff, vendors, and local service providers. During non-residence periods, the role will focus on estate coordination, vendor follow-up, household readiness, open issue tracking, and general administrative or executive support for company leadership. This is primarily a coordination, follow-up, and quality-control role. Most property-related work is performed by external vendors and service providers. The candidate is expected to coordinate vendors, confirm schedules, check work quality, track pending issues, and ensure the estate is maintained at a high standard. This is not a passive desk-only role. The right candidate should be comfortable being present on-site, checking details, reading the situation during VIP visits, anticipating needs, and taking practical action in a discreet and professional manner. The expected annual salary for this position is approximately $75,000, depending on experience and qualifications. Key Responsibilities 1) Estate & Household Management Coordinate day-to-day upkeep of a private estate in Blue Bell, PA. Manage communication and scheduling with external vendors and service providers, including landscaping, pool service, cleaning, repairs, pest control, aquarium maintenance, security, smart home systems, and other household services. Monitor household readiness, supplies, service standards, and general property condition. Track open issues, vendor schedules, repair requests, pending items, and completed work. Conduct practical on-site checks to confirm that work is completed properly and on time. Coordinate with housekeeping, chef, driver, and other household support staff as needed. Maintain organized records of vendor contacts, service schedules, invoices, and household-related information. Maintain and update an inventory of household assets, furniture, artwork, equipment, supplies, and other items located at the residence. Track household inventory, asset condition, storage location, and any missing, damaged, or replaced items. Conduct periodic inventory checks and report any discrepancies, maintenance needs, or replacement needs to management. Help ensure that household assets and supplies are properly organized, documented, and controlled. 2) VIP Residence Period Support Provide local logistical, lifestyle, and hospitality support to Korean VIPs during planned residence periods. Coordinate dining reservations, shopping arrangements, appointments, errands, transportation-related requests, household requests, and other local arrangements. Work closely with the VIPs' Korean executive support team, internal company representatives, household staff, vendors, and local service providers. Help ensure the estate is properly prepared before and during VIP visits. Provide reasonable local support for a college-aged family member in the Pennsylvania area, including scheduling, errands, local arrangements, and practical day-to-day coordination as needed. Support VIP preferences with good judgment, discretion, and cultural awareness. Maintain a polished, calm, and service-oriented presence during VIP visits. 3) Non-Residence Period / Executive Support During non-residence periods, assist with general administrative and executive support for company leadership. Support scheduling, reservations, document follow-up, vendor communication, travel-related coordination, and general office or management support tasks. Help track pending matters and follow up with internal and external parties. Assist with basic coordination between the estate, company representatives, vendors, and external service providers. Maintain flexibility to shift back into VIP residence support when planned visits are scheduled. Ideal Candidate Proactive, practical, service-oriented, and highly reliable. Comfortable working in a private household environment with high expectations for discretion, professionalism, and confidentiality. Able to anticipate needs, read the situation, move quickly, and solve practical issues without waiting for detailed instructions. Strong judgment and professional boundaries when supporting VIPs, family members, executives, and household staff. Comfortable coordinating with vendors, household staff, executive support teams, and management. Polished and professional in communication, appearance, and behavior. Organized and able to track multiple open items, schedules, vendors, and follow-up matters. A strong sense of style, aesthetics, and cultural awareness is highly valued, especially in areas such as fashion, luxury goods, dining, hospitality, and the arts. Able to maintain confidentiality at all times. Schedule Expectations This is a full-time role with seasonal workload patterns. During VIP residence periods, the role requires a higher level of schedule flexibility. This may include early mornings, evenings, and some weekends depending on the VIPs' schedule and local support needs. These peak periods are generally planned in advance. During non-residence periods, the schedule is expected to be more flexible and predictable, with reduced day-to-day demands, while continuing to manage estate coordination, vendor follow-up, and administrative support tasks. The ideal candidate should understand that the role may be busier during VIP visits but offers more flexibility during off-season periods. Preferred Background Experience as a House Manager, Estate Coordinator, Personal Assistant, Executive Assistant, Lifestyle Coordinator, Family Office Assistant, Hospitality Coordinator, or similar support role. Experience coordinating vendors, household services, residential properties, executive residences, or hospitality-related services. Experience supporting executives, VIPs, private households, or high-net-worth families is preferred. Familiarity with high-end hospitality, fine dining, luxury services, fashion, shopping, or arts-related environments is a plus. Experience working with international executives, Korean companies, or cross-cultural environments is a plus but not required. Important Notes This role is not intended to be a heavy technical property management role or a 24/7 personal attendant position. The estate is primarily serviced by external vendors, and visiting Korean VIPs are typically accompanied by their Korean executive support team. The ideal candidate is someone who can coordinate, follow up, check quality, stay organized, communicate professionally, and provide proactive local support when needed. The role is busier during VIP residence periods and more flexible during non-residence periods. During off-season periods, the candidate may also support company leadership with general executive assistant and administrative coordination tasks.
