The Administrative Assistant provides day?to?day administrative support across the organization, with a strong focus on HR administration and employee engagement. This is a fully on?site role that supports daily office operations, travel logistics and activities that help create an organized, efficient, and engaging workplace.POSITION RESPONSIBILITIES
Primary Responsibilities:
Provide administrative support to various departments. Support employee travel planning and logistics. Coordination of on?site and off-site corporate events, meetings, training, luncheons, and employee activities. This includes travel planning, lunches, restaurant reservations, room set up and general logistics. Prepare announcements, reports, spreadsheets, and presentations. Order and manage office supplies and pantry items. Maintain conference rooms to ensure they are clean, well?stocked, and meeting?ready at all times. Ensure breakrooms are clean, well?organized, and appropriately stocked. Support onboarding logistics and new?hire orientation scheduling. Assist Accounting with posting invoices or other special projects as needed. Provide order entry coverage in our MRP department during short staffing or backlog situations. Take photos at on-site employee events and provide them to the Digital Marketing Specialist for social media, employment branding and marketing use.ProMinent Expectations:

Required:
High school diploma required, with 2+ years of administrative or office support experience. Strong organizational skills with a proven ability to manage details, prioritize tasks, and meet deadlines. Excellent written and verbal communication skills. Must be professional and approachable. Reliable, proactive, and collaborative, with a positive attitude and strong interpersonal skills; someone others enjoy working with. Technically proficient with common business tools, including Outlook, Word, Excel, PowerPoint, Concur, Canva, Copilot, and other online platforms, with the ability to learn and adapt to new technology. Continuous improvement mindset, with openness to trying new approaches Trustworthy and thoughtful, with the ability to handle sensitive and confidential information responsibly. Active Notary Public certification, or willingness to become certified.
