GENERAL DESCRIPTION OF THIS ROLE
The Reception Clerk performs clerical, cashiering, and customer service work to support the Township's Finance Department and overall Township operations. This includes taking payments, responding to resident inquiries, assisting with billing and mailings, and ensuring that Township residents receive excellent customer service.
KEY RESPONSIBILITIES
Customer Service Serve as the first point of contact to residents at the counter, by phone, and by email with questions about Township services, payments, or billing. Serve as cashier for utility payments, tax payments, and other Township revenues. Provide clear, courteous, and accurate information about Township services, fees, and processes. Resolve routine questions and concerns promptly; refer complex inquiries to appropriate staff. Assist with mailing tax bills, sewer utility bills, and monthly statements on schedule. Maintain a professional, welcoming environment at the Finance Department front desk. Cashiering and Payment Processing Receive and record daily payments including cash, checks, and electronic transactions. Issue receipts and maintain accurate records of transactions. Assist with posting transactions to ledgers and databases as assigned. Administrative Duties Provide peripheral support for Accounts Receivable and Utility Billing Clerks functions when needed. Pick up, sort, and deliver Township mail. Perform general filing of checks, receipts, correspondence, and financial records. Answer and direct Township phone calls and inquiries to the appropriate department. Prepare reports, spreadsheets, letters, and other documents as assigned. Maintain departmental databases, records, and filing systems in accordance with state and local recordkeeping requirements. This description is intended to provide a general overview of the duties and responsibilities of the Clerk for the Finance Department. Other duties may be assigned as needed to meet the goals of the Township. KNOWLEDGE, SKILLS AND ABILITIES
Public Communications:
Excellent verbal and written communication skills. Able to present information clearly and calmly, including during sensitive or high-stress situations.
Customer Service:
Professional and courteous when handling public inquiries, concerns, and complaints. Ability to build trust with residents through respectful and responsive communication. Skilled in addressing complex inquiries and concerns with professionalism.
Financial Accuracy:
Strong ability to handle payments, reconcile accounts, and work accurately with numbers and financial records.
Organization and Prioritization:
Strong organizational skills, with the ability to manage multiple tasks and meet deadlines. Pays close attention to detail and follows through on assigned responsibilities.
Technology Proficiency:
Proficient in Microsoft Office Suite and billing/accounting software. Ability to leverage technology for efficient communication and records-keeping.
MINIMUM QUALIFICATIONS DESIRABLE QUALIFICATIONS
High school diploma or equivalent; additional coursework in business administration, public administration, or a related field preferred. Two (2) years of progressively responsible administrative or secretarial experience. Coursework in Accounting, Business Management, or Business Administration preferred. Experience in utility billing, cashiering, customer service, or clerical/accounting work preferred. Strong organizational skills with the ability to manage multiple priorities.
WORKING CONDITIONS
Works primarily in an office setting with frequent interactions with the public at the front desk and through electronic communications. The work environment may include occasional high-stress situations when addressing resident concerns or managing multiple tasks simultaneously.
PHYSICAL REQUIREMENTS
Requires prolonged periods of sitting, standing, and walking. Involves occasional bending, reaching, kneeling, and crouching, as well as repetitive motions while working on computer-related tasks. Requires ability to speak and hear. Must be able to read, write, speak, understand and communicate in English sufficiently to perform the duties of this position. Must have both near and far vision (with or without corrective devices) to read documents, operate computers, and engage with the public. Ability to lift, carry, or move items weighing up to 25 pounds required.
