Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and exceptional support to staff and clients alike. Your energetic approach and attention to detail will help create an efficient, welcoming environment where tasks are handled promptly and professionally. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing excellent customer service with professional phone etiquette. Handle comprehensive office management tasks such as filing, data entry, proofreading documents, and maintaining organized records. Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, schedule appointments, and support daily operations. Coordinate calendar management and schedule appointments or meetings for staff members efficiently. Perform bookkeeping duties using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial record keeping. Support customer support efforts by responding promptly to inquiries, providing information, and assisting with client requests. Maintain office supplies inventory, oversee filing systems, and ensure the office environment is tidy and well-organized. Assist with special projects such as personal assistant tasks or medical/dental receptionist duties as needed. Experience Proven office experience with a strong background in clerical duties and administrative support. Familiarity with multi-line phone systems, office management software, and basic bookkeeping tools like QuickBooks. Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Excellent typing speed combined with strong attention to detail for proofreading documents and data entry accuracy. Prior experience in customer service roles or as a receptionist demonstrating excellent phone etiquette and professionalism. Proficiency in Microsoft Office programs and Google Workspace applications along with solid computer literacy.
