Job Description
Our client, Stouffer & Co., is seeking a friendly, reliable, and detail-oriented Receptionist / Administrative Assistant to support daily office operations on a full-time basis. This role serves as the first point of contact for clients and plays a key role in maintaining a welcoming, organized, and professional office environment. The ideal candidate is highly organized, customer-focused, and comfortable working with technology. Because the office relies heavily on digital tools and systems, the ability to learn new technology quickly—or existing strength in using office software—is essential. Strong interpersonal skills are important, but candidates must also be able to manage the technical and administrative demands of the role. Key Responsibilities Greet clients and visitors in a professional and courteous manner Answer and route incoming phone calls promptly and professionally Schedule appointments and maintain calendars Collect, organize, and maintain client information and documentation Respond to client inquiries via phone, email, and in person Prepare, send, and distribute client correspondence (emails, letters, and forms) Provide general administrative support, including filing, data entry, and document preparation Support additional administrative and office tasks as assigned Use digital tools and office technology to support daily operations (training provided as needed) Qualifications High school diploma or equivalent required; college coursework or degree preferred Minimum of 3 years of experience in a receptionist, administrative assistant, or customer service role Strong verbal and written communication skills Excellent organizational skills with strong attention to detail Proficiency in Microsoft Office (Word, Outlook, Excel) Ability to learn and navigate digital tools, office software, and technology systems Ability to manage multiple tasks and prioritize effectively in a fast-paced environment Professional demeanor with a client-service mindset Ability to work independently and use sound judgment The office uses a variety of digital tools and systems, and the role requires someone who is comfortable with technology or able to learn quickly. While strong client-facing skills are important, the successful candidate must also be capable of handling the technical aspects of the position. The previous employee excelled in communication but struggled with the technology requirements, so this balance is essential.
