Job Description
Donor Relations Coordinator:
Job Summary:
The Donor Relations Coordinator is primarily responsible for providing the Development Team with administrative and database management support in the areas of constituency management, gift reporting, prospect identification, cultivation, solicitation, donor recognition, and tracking. Full and Part time applicants are being accepted.Job Duties:
- Maintain the constituent database to ensure all information is accurate and up-to-date.
- Prepare queries for routine reports, special event assessments, foundation research, and other needs as identified and requested.
- Utilize CPL's constituent database to create labels, lists, letters, etc.
- Regularly, accurately process and code all gift receipts and prepare acknowledgment letters per department practices.
- Reconcile all donation records with the business department.
- Report donation activity to the appropriate managers.
- Manage all calls related to general donations.
- Field calls related to stock gifts, endowments, campaign contributions, and other major giving prospects.
- Track and process all Facebook fundraiser donations as well as all other online donations.
- Track and process all employee matching gift donations.
- Track all campaign pledges and monitor pledge payment activity and reminders.
- Schedule and confirm appointments with constituents as directed.
- Assist in the execution of donor recognition as directed.
- Support the planning and implementation of select elements of special event activities as directed.
- Perform other duties as may be assigned.
Job Hours and Special Considerations :
The hours for this position total 20-32 hours per week, Monday through Friday. Flexible scheduling is allowed with approval from the Director of Development and Communications. After-hours work and weekend work will be required as determined by the organization's needs and will be required to effectively meet the responsibilities of the position. Attendance and assistance at special events are required. Approval must be obtained by the Executive Director for all overtime, however the staff member is expected to adjust the schedule as necessary to stay within the weekly hourly limit. Produce written work that is error-free Manage and prioritize multiple projects simultaneously in an organized and structured manner Communicate effectively and professionally, both orally and in writing Work in a seated position for the majority of the day Extended hours may be required as service needs dictate Report to work on a regular and timely basis Bend, stoop/squat, crouch/kneel, climb, stand, sit, turn/pivot and walk intermittently throughout the work day Demonstrate cognitive ability to: o Follow directions and routines o Exhibit spatial awareness o Read words and numbers o Concentrate, memorize and recall o Identify logical connections and determine sequence of response o Work independently with appropriate judgment o Process up to 2-3 steps ahead o Follow policy and established procedures independently o Organize materials and manage time effectively Maintain a neat and orderly workspace so that this position could at any time be assumed by another staff member with ease Work independently and also within a team environment Work cooperatively in a diverse work environment with distractions Work in a positive and professional manner with all stakeholders Possess valid driver's license and be able to drive CPL vehicles Work around a variety of animals for the entire work period without it adversely affecting your health React and adapt to changing situations appropriately and with openness to new ideas and their implementation Utilize a computer for word processing, spreadsheet management, email, desktop publishing, and database management Utilize a wide variety of office equipment such as multi line phone, fax machine, copy machine, etc. Meet deadlines Perform office tasks using simple hand grasping, fine hand manipulation and reach associated with assigned tasks such as paperwork, keyboarding, filing, calculating, and use of telephone Proofread/edit work produced within the organization Demonstrate interest, enthusiasm and affinity for fundraising Demonstrate the ability to work and communicate with people of varying disabilities in an empathetic, professional and respectful manner Demonstrate public speaking skills that are welcoming, educational, and professional for groups of all sizes Demonstrate the highest level of confidentialityQualifications :
The minimum of a high school diploma is required. A college degree is preferred. A current driver's license is required. The ability to drive CPL vehicles is required. Strong computer skills in word processing, spreadsheets, data entry, and database management are required.Attributes :
The employee in this position must demonstrate high standards of integrity and continually demonstrate a composed, professional and discreet demeanor maintaining extreme confidentiality of all information relating to CPL's constituents. The employee needs to be self-directed and able to work independently for extended periods of time while also productively managing multiple interruptions and distractions daily. Creativity and enthusiasm are a must, as is the ability to work cooperatively within a team environment. Strong organizational skills and attention to detail are essential.
