Job Description

Overview We are a growing Construction Company in Croydon, Pa seeking a dependable and well organized office secretary to join our team . This vital role involves answering phone calls managing paperwork, filing for permits,managing desk activities, coordinating communication, maintaining records, entering estimates, and assisting with invoicing. The ideal candidate will bring a positive attitude, exceptional organizational skills, and a proactive approach to handling diverse responsibilities, Your energy and attention to detail will help create an efficient workplace where everyone can thrive. Responsibilities Answer incoming calls Manage desk duties including scheduling appointments, receiving deliveries. Perform data entry, filing, and record keeping using Quickbooks, Google Workspace, and other office software to ensure accurate documentation. Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and basic financial record management. Assist with calendar management and scheduling for staff members or executives to optimize time utilization. Handle clerical tasks such as proofreading documents, organizing files, and managing office supplies to maintain an organized workspace. Experience Strong computer literacy with expertise in Quickbooks, Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry skills. Proven organizational skills with the ability to prioritize tasks efficiently. Experience with bookkeeping software such as QuickBooks is highly desirable. Construction office experience a plus Excellent phone etiquette and customer service skills to foster positive interactions with visitors and callers. Clerical or administrative experience that includes managing multi-line phone systems, calendar coordination, and document proofreading will set candidates apart.
