The Financial Secretary is responsible for managing and overseeing all financial operations for assigned School-Age Programs within Student Services. This position ensures the accurate, timely, and compliant processing of all fiscal transactions in alignment with CCIU policies and established accounting procedures.Duties & Responsibilities :
Maintain accurate and up-to-date financial records for all assigned accounts, including instructional budget account, production accounts, and student activity accounts. Monitor expenditures and reconcile accounts to ensure fiscal accuracy and compliance with CCIU procedures. Prepare, record, and reconcile all invoices in a timely manner. Prepare and process specialized billing, ensuring accurate coding, documentation, and timely submission. Process purchase requisitions and vendor invoices, ensuring accuracy, appropriate approvals, and alignment with program budgets. Communicate and follow up with vendors and CCIU personnel to ensure timely fulfillment of orders and payment processing. Transmit purchase orders to vendors upon approval and confirmation from the Business Office. Complete online supply ordering for assigned programs, ensuring cost-effective purchasing practices, adherence to approved vendor lists, and alignment with program and instructional needs. Assign and track ASN (Account Sequence Number) codes for all expenditures, ensuring accurate coding, proper documentation, and compliance with financial reporting requirements. Oversee instructional inventory management processes, including tracking materials, managing the annual procurement process, and supporting systems that ensure programs have the resources required for instruction and operations. Manage vendor relationships, maintaining positive communication, monitoring service quality, and ensuring vendors meet CCIU expectations related to cost, timeliness, and product availability. Manage digital subscription usage, rostering, and license allocation, ensuring accurate assignment, maximizing utilization, and supporting cost-effective digital resource management. Conduct usage analysis across digital tools, instructional materials, and purchased resources to inform purchasing decisions, support program budgeting, and ensure effective allocation of resources.Qualifications:
High School Diploma or equivalent required Experience in accounting and record keeping required Current police, child abuse, and FBI fingerprint clearances within 1 year requiredSalary Range :
SVH, Level 10: $21.47- $26.84/hr.
- Placement on band is based on years of direct experience in a comparable role.
Schedule :
7.5 hours per day (8 AM- 4 PM); 5 days per week; 260 days a year
