Job Description

Overview We are seeking a dedicated and organized Part-Time Administrative Assistant to join our team. This role offers an excellent opportunity to support daily office operations, enhance administrative efficiency, and provide exceptional customer service. The ideal candidate will possess strong clerical skills, be highly organized, and demonstrate proficiency with various office management tools. This position is vital in maintaining smooth workflow and ensuring that all administrative functions are handled with professionalism and accuracy. Responsibilities Manage front desk duties, including greeting visitors and directing calls professionally Operate multi-line phone systems with excellent phone etiquette to handle inquiries efficiently Perform data entry tasks using Microsoft Office, Google Workspace, and other relevant software Maintain accurate filing systems, both physical and digital, ensuring easy retrieval of documents Support calendar management and scheduling for team members or executives Assist with bookkeeping tasks using QuickBooks or similar accounting software Provide customer support through effective communication and problem resolution Handle clerical tasks such as proofreading documents, preparing correspondence, and organizing meetings Support office management activities to ensure a well-organized work environment Perform general administrative duties including photocopying, faxing, and inventory management Qualifications Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or comparable bookkeeping software is preferred Excellent phone etiquette and customer service skills Bilingual abilities are a plus to serve diverse clients effectively Strong typing skills and data entry accuracy Knowledge of office management procedures and clerical best practices Ability to multitask efficiently while managing time effectively in a fast-paced environment Previous experience as a receptionist, personal assistant, or medical/dental receptionist is advantageous If you are a motivated individual with excellent organizational abilities and a passion for supporting office operations, we encourage you to apply.
