$18.00 - $22.00
POSITION SUMMARY:
The Administrative Assistant performs duties in a confidential administrative nature assisting the Director of Sports Facilities. He/she will provide support to managers and employees through a variety of tasks to assist with daily operations. Additionally, providing excellent customer service to all clients, patrons, and employees.
QUALIFICATIONS
The Administrative Assistant must possess a high school diploma. Experience in an office environment or as a administrative assistant is preferred. Proficiency in Microsoft Office Suite (Word & Excel). Strong skills at spelling grammar, punctuation and letter composition and writing are essential. This person must possess the skill to operate office equipment, including but not limited to, two-way radios, copying machines, computers, and postage meters.
JOB DUTIES
This position may prepare executed contracts for events in the Erie Insurance Arena. He/she may assist with invoicing for events at the Erie Insurance Arena and forward on to clients. Additionally, will follow-up on payments and work in conjunction with accounting to post all payments to the client's accounts. He/she will take minutes at weekly staff meetings. The Administrative Assistant will provide daily assistance to the Director of Sports Facilities and other staff/department heads as needed. He/she will maintain and distributes Erie Events employee directory. This position will answer incoming calls, and determine purpose of callers, and forwarding to appropriate personnel or department. He/she will oversee and coordinate the schedule of the Erie Insurance Arena Conference room. Responsible for daily mail distribution. This includes sorting incoming mail and forwarding to various individuals or departments. He/she shall be responsible for filing of records, contracts and other documents. Updates monthly calendar of events and distributes to Erie Events employees. He/she will participate monthly on the Erie Events Safety Committee. This position will maintain inventory of office supplies, and will oversee annual office supply budget. This person will manage and direct certain misc. outside vendors such as office supply vendors and vending machine suppliers. He/she will ensure Administrative Office is kept clean and organized at all times. Handle sensitive information in a confidential manner. Other duties as assigned.
