Job Description

Job Summary We are a small family run business serving York and Adams Counties both Commercial and Residential for the last 45 years. We are looking for a motivated person to become part of our family. We are seeking a dynamic and highly organized Secretary Assistant to join our team! In this role, you will assist in administrative operations, ensuring seamless office management and exceptional support to our team and clients. Your energetic approach and attention to detail will help maintain an efficient, welcoming environment. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a thriving organization. The ideal candidate is proactive, tech-savvy, and excels in multitasking with excellent communication skills. Responsibilities Assist in day to day administrative operations Assist with client phone calls and scheduling Assist with deliveries of parts and packages (Occasional Forklift Driving) Handle organization of parts and warranty items Handle data entry, maintain filing systems, and organize documents for easy retrieval Assist our technicians with job reporting, billing and estimating Assist with bookkeeping tasks using QuickBooks and House Call Pro, including invoicing and expense tracking Support calendar management and coordinate appointments for team members Provide customer support via phone or email, ensuring prompt resolution of inquiries Maintain office supplies inventory and place orders as needed Perform general clerical duties such as photocopying, scanning, and mailing Experience Prior office management or administrative assistant experience is preferred but not required Demonstrated proficiency with computer literacy including Microsoft Office Experience with QuickBooks or other bookkeeping software is a plus Strong organizational skills with the ability to prioritize tasks effectively Excellent phone etiquette and customer service skills in a fast-paced environment Personal assistant experience or familiarity with calendar management enhances candidacy Proven ability to handle clerical tasks such as filing, proofreading, and document management What does the job require:
  • Flexible team player that is willing to assist in any office task needed
  • Ability or willingness to drive a forklift a few times per week to assist in unloading deliveries is a plus. (We Will Train)
