Job Overview We are seeking a proactive and organized Office Assistant to join our dynamic team! This vital role involves supporting daily office operations, managing administrative tasks, and ensuring a smooth workflow across departments. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette Handle data entry, filing, and document proofreading to maintain accurate records and organized files Assist with calendar management, scheduling appointments, and coordinating meetings for staff or clients Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records Provide exceptional customer support via phone, email, or in person, addressing questions promptly and professionally Perform general office management duties including supply inventory, mail distribution, and maintaining office equipment Requirements Proven experience in an office environment with clerical or administrative responsibilities Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly preferred to assist diverse clients and team members effectively Excellent organizational skills with keen attention to detail and accuracy in proofreading and data entry Ability to manage time efficiently, prioritize tasks, and handle multiple responsibilities simultaneously Previous experience as a receptionist, personal assistant, medical receptionist, or dental receptionist is advantageous Knowledge of office management practices including filing systems, calendar management, and bookkeeping Join us to be part of a vibrant team where your organizational talents will shine!
