Headquartered in Lafayette Hill, Pennsylvania, MLA Claims is one of the nation's most accomplished property loss consulting and public insurance adjustment firms. We are dedicated to helping clients navigate insurance claims and secure fair settlements. We are seeking a highly organized and detail-oriented Administrative Assistant to support our team and help ensure smooth day-to-day operations.
Job Responsibilities:
  • Maintain and organize electronic client files, documents, and claims-related paperwork, including creating inventory spreadsheets and labeling photographs
  • Assist in preparing, submitting, and following up on insurance claims
  • Perform data entry, recordkeeping, and general administrative tasks to support efficient workflow
  • Provide excellent customer service by answering phone calls, emails, and other communications with clients, insurance companies, and vendors
  • Support billing, invoicing, and payment processing, date-stamping, and mailing activities
  • Proofread, copy, scan, and organize documentation and correspondence
  • Handle incoming and outgoing mail
  • Maintain updated client and referral databases / lists
  • Manage office supplies and assist with basic office equipment coordination
  • Provide administrative support to both in-office and remote staff
  • Assist with claims-related and administrative tasks as assigned
Qualifications & Skills:
  • High school diploma or equivalent
  • Prior administrative experience preferred, ideally in insurance, legal, or related industries
  • Strong organizational, multitasking, and time-management skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Strong customer service and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office software
  • Ability to handle sensitive information with confidentiality and professionalism
  • Self-motivated with the ability to work independently as well as collaboratively within a team environment
