Description Office Administration Specialist We are seeking an Office Administration Specialist to bridge Operations and Client Services within our organization. This position offers a structured work environment with a diverse range of responsibilities and the opportunity to support a collaborative team. Position Overview The Office Administration Specialist will provide administrative and operational support to approximately 10 team members. This role is ideal for someone who enjoys focusing on one task at a time in a steady-paced, organized environment. Key responsibilities include payment processing, file management, report generation, and client service support, along with handling inbound calls and routing inquiries appropriately. Key Responsibilities Process and post payments accurately and efficiently
Manage file processing and maintain data integrity
Generate reports and assist with loading new electronic business
Perform data entry and administrative support functions
Answer and route incoming phone calls professionally
Support Client Services and Operations teams with daily tasks
Utilize Excel for data analysis and reporting (pivot tables, formulas, data imports)
Maintain organized records and ensure attention to detail in all tasks Qualifications Strong verbal and written communication skills (email and phone)
2+ years of administrative or office clerical support experience
Intermediate proficiency in Microsoft Excel (pivot tables, formulas, data imports required)
Proficiency in Microsoft Outlook; Access and PowerPoint are a plus
Strong analytical and basic math skills
High attention to detail and organizational ability
Ability to work independently and as part of a team
Self-motivated with a reliable work ethic
Medical office or healthcare-related experience preferred
Previous experience with payment posting or cash applications required
Strong keyboarding/data entry skills Work Environment Structured, steady-paced setting (not high-volume multitasking)
Emphasis on accuracy, organization, and task focus
