Job Title:
Engineering Assistant Job Description We are seeking an administrative coordinator to support purchasing and material coordination activities onsite at a renowned commercial HVAC and Controls/Automation company. This role will serve as a liaison between Power Electronics Engineering and Finance/Procurement, managing purchase orders, tracking incoming materials, and reducing administrative workload for engineers. Additionally, this position offers an opportunity to gain exposure to project coordination and project management fundamentals. Responsibilities Coordinate purchase order requests between Power Electronics engineers and Finance/Procurement. Collect and validate purchasing information including quotes, vendor details, part descriptions, quantities, and project/charge codes. Submit PO request packages using standard processes and track approvals and status through completion. Maintain a PO tracker to monitor approvals, delivery dates, receipts, and open issues. Coordinate with receiving/warehouse personnel and notify engineers when parts arrive. Perform initial incoming part checks (part number, quantity, visible condition) and document discrepancies. Maintain organized documentation for quotes, POs, packing slips, receipts, and related communications. Support PO closeout and invoice matching by confirming receipt status with Finance. Assist with material tracking and delivery follow-ups for engineering activities. Support basic project coordination tasks such as action tracking, meeting notes, and status updates. Gain exposure to cross-functional workflows involving engineering, procurement, and finance. Essential Skills Experience in purchasing, procurement, finance, or related workflows. Excellent communication and organizational skills. Proficiency with MS Office. Strong organizational skills and attention to detail. Ability to communicate professionally and clearly with engineering and finance stakeholders. Additional Skills & Qualifications Associate's or Bachelor's degree preferred, or equivalent administrative or operations experience. Experience in an engineering, manufacturing, or hardware-related environment. Familiarity with purchase order or procurement systems. Exposure to receiving, material handling, or inventory coordination. Interest in learning project management or project coordination skills. Work Environment This position is based onsite at the JADEC facility. The role offers long-term engagement and exposure to project management practices. Job Type & Location This is a Contract position based out of New Freedom, PA. Pay and Benefits The pay range for this position is $25.00 - $30.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
