Job Description

Overview We are seeking a dynamic and organized Office Assistant to join our team and help ensure the smooth operation of our office environment. This role offers an exciting opportunity for someone with strong administrative skills, excellent communication abilities, and a proactive attitude. As an Office Assistant, you will be the first point of contact for visitors and callers, manage essential clerical tasks, and support various office functions to promote efficiency and professionalism. Responsibilities Greet visitors, answer multi-line phone systems, and direct calls with professional phone etiquette Manage front desk duties, including handling incoming correspondence, mail distribution, and visitor sign-in procedures Maintain organized filing systems, data entry records, and ensure accurate documentation using tools like Microsoft Office, Google Workspace, and QuickBooks Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings Assist with clerical duties including proofreading documents, preparing reports, and maintaining office supplies Provide excellent customer service by supporting clients, vendors, and team members promptly and courteously Perform general administrative support including photocopying, faxing, data entry, filing, and record keeping to ensure operational efficiency Qualifications Proven experience in office administration or clerical roles with a strong background in office management Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer skills Experience with multi-line phone systems and excellent phone etiquette skills Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Previous experience as a receptionist or personal assistant is advantageous Knowledge of bookkeeping or QuickBooks is a plus for handling basic financial records Demonstrated customer service skills with a friendly and professional demeanor Join us as an Office Assistant to be an integral part of a vibrant team dedicated to excellence.
