Job Description
Job Summary We are seeking a dedicated and organized Office Assistant to join our dynamic team. This role is essential in supporting daily administrative operations, ensuring the smooth functioning of office activities, and providing exceptional customer service. The ideal candidate will possess strong organizational skills, proficiency with office management tools, and the ability to handle multiple responsibilities efficiently. Responsibilities Greet visitors and manage front desk operations with professionalism and courtesy Answer multi-line phone systems promptly, directing calls accurately and maintaining phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization Manage calendar appointments, schedule meetings, and coordinate office events effectively Handle correspondence via email and Google Workspace applications, ensuring timely responses Support bookkeeping tasks using QuickBooks or similar accounting software when necessary Assist with office management duties such as supply inventory, filing systems, and general clerical support Provide customer support by addressing inquiries promptly and maintaining positive relationships Maintain organized records of client files, invoices, and other essential documents Support administrative projects that enhance office efficiency and workflow Qualifications Proven experience in office management or administrative support roles with relevant office experience Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Familiarity with QuickBooks or similar bookkeeping software is preferred Excellent organizational skills with keen attention to detail and accuracy in typing and data entry Bilingual abilities are a plus to serve diverse client needs effectively Demonstrated ability to handle multi-line phone systems and maintain professional phone etiquette Prior clerical or receptionist experience in medical or dental offices is advantageous Strong customer service orientation with effective communication skills and a friendly demeanor Ability to prioritize tasks efficiently using time management techniques This position is an excellent fit for individuals seeking to advance their administrative career while contributing positively to a professional team environment.
