Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities Manage operational flow, including greeting visitors, answering phones, and directing calls with professional phone etiquette Handle scheduling tasks such as calendar management and appointment setting using Google Workspace and Microsoft Office tools for team members Perform data entry, filing, and document proofreading to maintain accurate records and ensure high-quality correspondence Support office management activities by coordinating supplies, organizing files, and overseeing general administrative tasks Assist with bookkeeping responsibilities using QuickBooks or similar accounting software for invoicing and expense tracking Provide customer support through effective communication, addressing inquiries promptly and professionally in person or via phone/email Support personal assistant functions such as travel arrangements, task prioritization, and time management for team members when needed Qualifications Proven office experience with strong clerical skills in a fast-paced environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively Strong typing skills coupled with attention to detail for proofreading and data entry tasks Experience with project management , office management software, and basic bookkeeping (QuickBooks preferred) Bilingual abilities are a plus to serve diverse client needs effectively Previous experience in customer service or as a receptionist (medical or dental reception experience is advantageous) Demonstrated professionalism with excellent phone etiquette and interpersonal skills Join us in creating a vibrant workplace where your organizational talents shine!
