The recruitment will be used to establish an eligibility list for current and future Administrative Assistant vacancies.

We are looking to hire an Administrative Assistants to support our Administrative Services Department. The Administrative Services Department is a combination of Finance, Human Resources, Risk Management and Information Technology. The department coordinates City recruitments, labor relations, benefits, payroll, accounts receivable, accounts payable and other financial and administrative functions. In this role, you will be hands on within all areas of the department, including scheduling and organizing citywide trainings, assisting with HR compliance, assisting with financial reporting (Budget, CAFR, Audits, etc.) and many other crucial projects.
ABOUT THE POSITION
Definition:
Under direction of management, preforms a variety of administrative, secretarial, and office support duties of considerable complexity. These duties require thorough knowledge of the department's procedures and operational details. Prepares and routes all departmental invoices. Provides administrative support to management and departmental staff. Composes and prepares correspondence using considerable judgement in content and style; performs other related duties as required. Important and Essential Duties Provides administrative support to the department in the daily management of operations. Maintains accurate and detailed records, verifies accuracy of information, researches discrepancies, and records information. Assists in monitoring department expenditures and purchasing activities; receives and records invoices. Performs cashiering functions; receives and processes payments (cash, check, credit), issues receipts, and balances cash drawers with City policies. Maintains calendar of activities, and meetings for City management; arranges meetings and makes. appointments; assists with task prioritization; provides staff support to committees or commissions such as preparing agendas, materials and minutes; makes travel arrangements and prepares related expense reports; may be assigned to attend meetings to serve as the recording secretary. Screens office and telephone callers; receives and routes incoming mail. Refers inquiries as appropriate.

EDUCATION AND EXPERIENCE
Any combination of experience and education that would likely provide the required knowledge, skills, and abilities would be qualifying. A typical way to obtain the knowledge, skills, and abilities would be:
Education :
High School Diploma, or equivalent.
Experience:
Three years of progressively responsible experience and a proven track record of performing administrative, secretarial or related work.
Licenses and Certifications:
Possession a valid California Class "C" Driver's License and satisfactory driving record. Bilingual (Spanish) language ability, both written and spoken, is preferred.
Supplemental Information:
Candidates who receive offers of employment will be required to submit fingerprints, undergo a criminal record clearance.
Benefits Retirement:
PERS Classic employee receives 2% at 55; single highest year and PEPRA employee receives 2% at 62, with highest 3 years average. Classic employees pay 7% employee contribution and PEPRA employees pay half the normal costs (currently 8.25%). The City of Half Moon Bay does not participate in Social Security, except the required Medicare.
Health Insurance:
Employee can choose from medical plans provided through CalPERS. Dental and Vision Insurance is available through through MetLife. The City will pay the MINIMUM employer contribution required under PEMHCA and an allowance of $1,900 per month, which can be used for medical premiums. Any unused portion may be taken as additional compensation. Dental and Vision premiums are paid by the employer up to family coverage.
Other Insurance:
The City provides a long-term disability coverage equal to 2/3 of monthly salary to a maximum of $6,000.
Life Insurance:
City provides $75,000 coverage.
Holidays:
14 paid holidays per year.
Vacation:
Accrual of 12 days annually for the first four years; increasingly periodically thereafter to 23 days annually after 21 years.
Sick Leave:
Accrual at the rate of 12 days per year.
Education Incentive:
$1,500 annually for eligible expenses upon approval.
Deferred Compensation:
Voluntary participation in Mission Square or Cal
PERS 457
plans are available.
Hybrid Work Schedule:
Successful candidate may be eligible for hybrid work schedule after successful promotion at six months. Special Instructions
