Job Description
We are looking for a dependable Administrative Assistant to support daily operations at City Hall in Coronado, California. This Long-term Contract position will serve as a key point of contact for visitors, employees, and vendors while helping maintain organized administrative processes across multiple departments. The ideal candidate brings strong customer service instincts, accuracy in data handling, and the ability to manage front-desk and clerical responsibilities in a detail-oriented public-facing environment.
Responsibilities:
Welcome visitors at the City Hall front desk, respond to routine inquiries, and provide courteous assistance to employees, residents, and outside vendors.
Manage incoming mail and package handling, ensuring timely distribution to the appropriate departments and staff members.
Monitor lobby and entry areas by performing routine appearance and access checks, helping maintain a secure and orderly reception environment.
Issue visitor or vendor passes and support front-counter operations with care and attention to established procedures.
Process receipt requests through the Tyler Munis cashiering platform for departments requiring payment documentation.
Enter and organize records accurately, maintaining proper filing and distribution of administrative documents.
Assist with onboarding tasks by preparing employee badges, collecting required paperwork, and supporting administrative needs for new employees.
Maintain personnel-related files and track forms such as tuition reimbursement, employment verification, telecommute requests, student loan verification, and outside employment documentation.
