In this role, you will provide administrative support to our company, ensuring it continues to run smoothly. Your responsibilities will include calling customers, scheduling appointments, collecting payment for invoices, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Responsibilities Accounts Payable:
Entering invoices into QuickBooks and ensuring all payments are accurately accounted for.
Accounts Receivable:
Managing customer billing. A 1% year-end bonus (up to $5,000) is available if all invoices are paid in full by December 31st.
Payroll Processing:
Ensuring accuracy of time cards and manually importing employee time cards into ADP. Daily invoicing
CRM Data Management:
Ensuring data is accurately captured within the CRM by double-checking service start and end times.
Operational Support:
Running errands to gather supplies for upcoming orders or ordering supplies for delivery On occasion (less than 20% of hours per week), assisting with field operations, including weeding, pruning, trimming, and mulching Current estimated time to complete tasks is 10-15 hours per week, with an anticipated salary of $300 a week Qualifications High school diploma/GED required, Associate's degree or administrative training is preferred Previous experience as an Administrative Assistant or in a similar position Familiarity with standard office equipment such as scanners and printers Excellent computer skills and knowledge of the Microsoft and Google suites Highly organized with excellent time management skills and the ability to prioritize projects Flexible work from home options available.
