Neurosurgery, Orthopedics, Personal Injury Uprite Medical is seeking a highly organized and motivated Administrative Assistant to support the Practice Administrator and Business Development Manager in a fast-paced medical practice environment. This is a full-time, in-person position located in Totowa, New Jersey. The role is ideal for someone who is detail-oriented, professional, comfortable communicating with law firms and medical offices, and experienced in personal injury workflows. The Administrative Assistant will assist with daily administrative operations, referral coordination, correspondence, and communication between attorneys, referring providers, patients, and outside medical offices. Key Responsibilities:
Send out referrals to medical offices, imaging facilities, therapy offices, and specialists Prepare and send letters, medical correspondence, and email inquiries Communicate professionally with attorneys, law firm staff, medical providers, and patients Follow up on referral status, records, appointments, and pending documentation Assist with business development follow-up, including attorney and provider outreach Maintain organized tracking of referrals, letters, inquiries, and responses Help coordinate communication between internal staff and outside offices Request and follow up on medical records, policy information, and case-related documents as needed Support administrative projects assigned by the Practice Administrator and Business Development Manager Qualifications:
Strong administrative and communication skills Prior experience in a medical office, law office, or personal injury setting preferred Strong personal injury background highly preferred Familiarity with attorney communication, medical records, referrals, and case documentation Ability to multitask and stay organized in a busy office environment Professional phone and email etiquette Reliable, detail-oriented, and proactive Comfortable using email, electronic medical records, spreadsheets, and office software Preferred Experience:
Personal injury medical office experience Knowledge of attorney-driven medical cases Experience communicating with law firms, insurance representatives, and referring offices Familiarity with referrals, letters of medical necessity, medical records, and follow-up tracking Ideal Candidate:
The ideal candidate is someone who understands the urgency and detail required in personal injury cases, can communicate professionally with attorneys and medical offices, and can help keep referrals and correspondence moving efficiently.
