Job Description

PURPOSE | ROLE The New York Cider Association is seeking a highly organized and detail-oriented Administrative Specialist to support the day-to-day operations of the organization. This role serves as a trusted administrative partner to the Executive Director, helping keep projects moving forward, systems organized, communications on track, and organizational priorities advancing. The ideal candidate thrives on organization, enjoys creating order from complexity, and takes pride in ensuring nothing falls through the cracks.
RESPONSIBILITIES
| TASKS Provide administrative and operational support to the Executive Director and NYCA team. Manage and maintain NYCA's digital platforms, databases, and organizational systems including Wild Apricot, Mailchimp, Squarespace, Visit Widget, Google Workspace, Monday.com, and others as needed. Support membership administration, data management, reporting, and member communications. Coordinate email campaigns, website updates, newsletters, and communications. Assist with board operations, meeting materials, records management, and documentation. Support event registrations, participant communications, logistics, and reporting. Assist with invoicing, expense tracking, grant reporting, and administrative recordkeeping. Track projects, deadlines, and priorities to ensure timely execution and follow through. Leverage technology and AI tools to improve efficiency and workflow management. Additional responsibilities as determined.
PREFERRED ACCOUNTABILITIES

SKILLS 2-3
years of administrative, operations, executive support, project coordination, or related experience. Highly organized, adaptable, and detail-oriented with strong time management and follow-through. Strong technology aptitude and curiosity with the ability to learn, manage, and troubleshoot multiple digital platforms and databases. Experience with web management, email marketing, CRM systems, membership databases, and cloud-based tools such as Wild Apricot, Monday, Mailchimp, and Squarespace. Proficiency with Google Workspace, spreadsheets, and digital collaboration platforms. Excellent written and verbal communication skills with a collaborative, service-oriented approach. Self-motivated and comfortable managing multiple priorities in a dynamic environment. High level of professionalism, discretion, and confidentiality. Experience and passion for nonprofit organizations, trade associations, membership organizations, agriculture, tourism, hospitality, or food and beverage industries is a plus. Available for occasional evening meetings, weekend events, and light travel as needed.
WORK CULTURE
Contract, part-time position averaging approximately 15 hours per week. Flexible schedule with remote work and occasional in-person meetings and events. Requires regular communication via email, phone, text, Zoom, and other digital platforms. Occasional evening and weekend availability may be required for meetings, programs, and events. Light travel within New York State may occasionally be required. Must be comfortable supporting event setup and breakdown, including lifting and transporting materials up to approximately 25 pounds. Independent contractor position. Contractor is responsible for providing their own computer equipment, internet access, mobile phone, transportation, and other tools necessary to perform assigned responsibilities.
Pay:
$18.00 - $22.00 per hour
