This person will serve as the right-hand partner to the Lead Agent, managing daily operations, coordinating transactions, supporting marketing efforts, overseeing systems, and ensuring clients receive exceptional service from first contact through post-closing. In addition to core business operations, this role may also include assisting the Lead Agent with select personal scheduling, booking flights and accommodations, travel arrangements for personal or business purposes, and other personal tasks that directly support business productivity. Operations & Systems Management Build, document, and refine SOPs, workflows, and checklists to improve efficiency Oversee CRM and database management, including inputting contacts, gathering client information, and developing personalized follow-up plans and drip campaigns Research and implement tools to enhance workflows Manage the Lead Agent's calendar, including showings, meetings, consultations, appointments, and business or personal travel arrangements Organize and manage the Lead Agent's inboxes; act as a gatekeeper to help protect their time Plan and organize weekly team meetings, track action items, and delegate tasks Handle confidential information with professionalism and discretion Promptly answer and return phone calls, texts, emails, and voicemails when the Lead Agent is unavailable or focused on lead generation Conduct monthly bookkeeping to support accurate financial tracking Assist with select personal tasks, including personal scheduling, booking travel arrangements, and other tasks that support business productivity Manage at least one additional administrative employee and potentially oversee interns or additional support staff in the future 2. Client & Transaction Support Prepare paperwork for buyer and seller transactions, ensuring accuracy and compliance Create loops in Dotloop and prepare files prior to appointments Coordinate with clients, lenders, attorneys, agents, vendors, and service providers to ensure smooth transactions Track deadlines, milestones, and deliverables Manage closing gifts, event logistics, and seminar details Request and manage client reviews and testimonials Serve as the primary client relationship manager from first contact through post-closing Conduct on-site property visits as needed to install lockboxes, coordinate with photographers, liaise with vendors, and ensure listings are properly prepared for market Assist with property-related tasks during the active listing period as needed to support a successful closing 3. Marketing & Brand Growth Assist with listing preparation and create repeatable systems for listing launches Manage listing and content syndication across social media platforms Create and manage newsletters, event promotions, and marketing campaigns Plan and execute client appreciation events, giveaways, seminars, and community initiatives Support brand growth through consistent follow-up, client experience management, and marketing coordination Schedule & Availability Requirements This role requires flexibility, as real estate is a time-sensitive business. The position includes some weekend work and requires Sunday on-call availability for urgent client needs, scheduling matters, listing activity, transaction support, events, or other time-sensitive business needs. Candidates must be comfortable with a schedule that may shift based on business demands, client needs, and active transactions. Travel Requirements While this role is primarily remote, regular local travel is required for in-person meetings, client events, property visits, listing preparation, lockbox installation, vendor coordination, and other real estate-related tasks. This role may also include occasional coordination of personal or business travel arrangements for the Lead Agent. Technology Requirements This role requires daily use of an Apple laptop or Apple device and comfort with communication platforms such as WhatsApp, Zoom, email, text, CRM systems, and online transaction management tools. You must be comfortable working in a virtual Zoom workspace and staying connected throughout the workday. Qualifications Previous administrative, operations, executive assistant, or real estate support experience preferred Real estate experience is strongly preferred but not required A real estate license is not required; however, it is a strong bonus if you already have one Must be highly organized, responsive, reliable, and able to manage multiple priorities at once Must be comfortable communicating with clients, vendors, agents, lenders, attorneys, and team members Must be able to work independently, anticipate needs, and follow through without constant supervision Must be comfortable with occasional weekend work and Sunday on-call availability as needed Important Note This is not an all-inclusive list of responsibilities. Additional duties may be assigned as needed based on the needs of the business. There may also be opportunities to manage an intern, virtual assistant, or additional administrative staff in the future as the team continues to grow.
Pay:
$50,000.00 - $55,000.00 per year
