This position performs routine fiscal transaction work across a variety of support areas, including accounts payable, data entry, record maintenance, and mail dissemination. The successful candidate will deliver exceptional customer service support to vendors, faculty, staff, and students regarding purchasing and fiscal matters. This is a short-term position with a projected end date of June 30, 2027 with renewal contingent on funding source and business needs. Essential Functions 30%
  • Accounts Payable & Vendor Support Assists with Accounts Payable related issues, reviews forms for completeness, and provides direct vendor and internal customer support. Reviews, updates, and audits data input in financial management system records to ensure compliance with regulations and local policies. 30%
  • Journal & Budget Entries Prepares routine journal entries and budget entries within the financial management system. Assists with other fiscal-related tasks. 20%
  • Database Maintenance & Clerical Support Maintains the Certificate of Insurance Database and various fiscal tracking spreadsheets. Types, files, and distributes correspondence, reports, records, forms, and documents to ensure accuracy and completeness. Compiles and summarizes a variety of information and data into clean summary reports for review by leadership. 10%
  • Reporting & Data Analysis Creates, updates, and maintains fiscal reports and logs. Research fiscal issues to resolve or escalate them appropriately. 10%
  • Other Duties as Assigned Performs other administrative, clerical, or technical fiscal support duties as required by the department to maintain standard operations.

This classification does not supervise or provide lead work, and works collaboratively with other staff and team members.
SUPERVISION RECEIVED
This classification typically works on well-defined assignments or receives clear directions and close supervision. Minimum Qualifications High School Diploma or GED and one (1) year full-time equivalent of related fiscal, finance, or payroll support experience. There is no substitution or equivalency allowable for the High School Diploma or GED. OR An equivalent combination of education and/or experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation. Desired Qualifications A. Associate's Degree in a related field, such as Business Administration or Accounting. B. Two (2) or more years of experience providing customer service within a higher education environment. C. One (1) or more years of experience with any financial management system. D. Demonstrated experience using Microsoft Excel, including creating and working with pivot tables, data organization, formulas, and reports, as well as Microsoft Word for preparing correspondence, invoices, and process documentation. E. One year of full-time, relevant MCCCD experience within the previous two years. Special Working Conditions All travel-related expenses to campus during the interview and selection process will be the candidate's responsibility. May be required to travel to other MCCCD locations. May be required to work evenings and weekends. May require prolonged periods of sitting and viewing a computer screen. May be required to lift or carry up to 25 lbs. This position requires a physical presence on campus with possible partial remote work depending on business needs to best serve the students, department, and college. This is a short-term position with a projected end date of June 30, 2027 with renewal contingent on funding source and business needs. External candidates hired into a short-term benefits-eligible position are ineligible for rehire into a non-benefits-eligible position or to continue working in a non-benefits-eligible position for a period of six months once their assignment ends.
