This is a personal/executive assistant position requiring in-person interviews at the executive's home office. Job Overview WeCare Alliance for Mental Health is seeking a highly organized, proactive, and resourceful Personal Assistant to the CEO to provide high-level administrative, operational, and personal support. This role requires exceptional multitasking abilities, discretion, and a strong sense of initiative. The ideal candidate will serve as a key liaison between the CEO, staff, clients, and external stakeholders, ensuring seamless day-to-day operations. Key Responsibilities Executive Support Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements Anticipate scheduling conflicts and proactively resolve them Prepare daily briefs, reminders, and priority task lists Communication Management Serve as the primary point of contact between the CEO and internal staff, clients, and external partners Handle calls, emails, and correspondence on behalf of the CEO with professionalism and confidentiality Ensure timely follow-ups and clear communication across all channels. Operational Coordination Assist with coordination of staff schedules, meetings, and agency-related activities Support internal processes including compliance reminders, documentation tracking, and task follow-ups. Maintain organized records and ensure alignment with agency standards. Errands & Personal Tasks Run both personal and business-related errands as required Handle time-sensitive requests efficiently, often with short notice Support day-to-day logistical needs of the CEO. Travel & Flexibility Be available for short-notice travel arrangements and occasional travel with the CEO if required Coordinate itineraries, accommodations, and transportation logistics Maintain flexibility for changing schedules and priorities. Client & Staff Relations Maintain professional and courteous interactions with clients, families, and staff Assist in managing client communications, scheduling, and follow-ups Support recruitment coordination, interviews, and onboarding logistics when needed. Proactive Support Anticipate needs before they arise and take initiative without constant direction Identify opportunities to improve efficiency and streamline operations Handle sensitive matters with discretion and sound judgment. Qualifications Proven experience as a Personal Assistant, Executive Assistant, or similar role Exceptional organizational and time-management skills Strong communication skills (written and verbal) Ability to multitask and prioritize in a fast-paced environment High level of professionalism, confidentiality, and discretion Proficiency in Microsoft Office, Google Workspace, and scheduling tools Ability to adapt quickly and remain flexible with changing priorities Valid driver's license and reliable transportation preferred Pass background checks. Bilingual (fluent in both Spanish and English).
