Company phone provided; gas reimbursement available for approved business-related travel About the Role Stratus Clean of Lexington is seeking a highly organized, professional, and detail-oriented Personal Assistant to provide direct administrative, scheduling, communication, and operational support. This position will help manage multiple email accounts, calendars, appointments, communication tracking, reporting, online postings, and day-to-day administrative priorities. The ideal candidate is dependable, proactive, tech-savvy, and able to manage confidential information with professionalism. This role requires strong administrative judgment, excellent written and verbal communication, and the ability to keep tasks, schedules, and communication organized across multiple areas of responsibility. This position may also support approved pastoral, ministry, or church-related administrative work, so experience working with faith-based organizations, pastoral communications, or church operations is preferred. Key ResponsibilitiesExecutive and Administrative Support Provide direct administrative support to the manager/owner. Manage multiple email accounts and help prioritize incoming communication. Draft, organize, and send professional emails as directed. Track communication threads, pending responses, follow-ups, and deadlines. Maintain daily task lists, reminders, notes, and administrative updates. Prepare daily reports for the manager summarizing completed tasks, open items, appointments, communication updates, and urgent priorities. Maintain confidentiality with business, personal, pastoral, employee, customer, and company information. Assist with document preparation, file organization, data entry, and recordkeeping. Help organize digital files, folders, forms, templates, and administrative systems. Calendar and Scheduling Management Manage calendars and coordinate appointments, meetings, calls, events, and follow-ups. Schedule business appointments, personal appointments, meetings, and approved ministry-related appointments as assigned. Confirm appointment details, locations, attendees, times, and required preparation. Send calendar invites, reminders, confirmations, and updates. Help prevent scheduling conflicts and ensure the manager is prepared for upcoming commitments. Coordinate travel time, meeting preparation, and follow-up tasks connected to scheduled events. Communication Tracking and Daily Reporting Track important conversations, requests, deadlines, and follow-up needs. Keep the manager updated on urgent messages, missed calls, pending emails, and priority tasks. Maintain communication logs when needed. Provide daily updates on key actions, completed assignments, pending items, and upcoming priorities. Follow up with internal team members, vendors, contacts, customers, church-related contacts, or business partners as directed. Ensure communication is handled professionally, accurately, and in a timely manner. Online Platforms, Advertising, and Posting Management Oversee approved online platforms used for advertising, posting, communication, and business visibility. Keep postings current, accurate, and professional. Assist with creating, editing, scheduling, and updating posts for approved platforms. Monitor posting activity and report updates, engagement, inquiries, or needed changes. Help maintain consistency in tone, branding, messaging, and public-facing communication. Assist with online job postings, business advertisements, social media updates, announcements, and promotional content as assigned. Support basic marketing and content coordination efforts. Social Media and Content Support Assist with social media content creation, scheduling, and posting. Help draft captions, announcements, updates, promotional posts, and communication pieces. Monitor approved social media platforms and flag important comments, messages, or inquiries. Support content calendars and help keep platforms active and current. Assist with organizing photos, graphics, written content, and posting materials. Support marketing-related administrative tasks and campaign follow-up. Personal, Business, and Pastoral Support Assist with approved personal administrative tasks as assigned. Support business, ministry, and pastoral scheduling or communication needs when applicable. Help coordinate meetings, events, calls, and follow-ups connected to pastoral responsibilities. Assist with communication related to church, ministry, community, or faith-based activities when requested. Maintain a professional, respectful, and confidential approach when handling sensitive matters. Help balance multiple administrative areas while keeping priorities organized. Office and Operational Support Help maintain organized office processes and administrative workflows. Assist with vendor communication, appointment coordination, supply tracking, and basic office organization. Prepare meeting notes, agendas, reminders, and follow-up lists. Help coordinate documents, reports, forms, and administrative files. Assist with special projects, research, event planning, and operational tasks as assigned. Support team communication by helping ensure information is shared clearly and on time. Required Qualifications Bachelor's degree in Business Administration, Administration, Communications, Marketing, Management, or a related field. Experience in administrative support, executive assistance, office coordination, or similar administrative work. Experience with social media content creation and marketing support. Strong written and verbal communication skills. Strong organizational skills and attention to detail. Ability to manage multiple email accounts, calendars, deadlines, and communication channels. Proficiency with email, calendar systems, Microsoft Office, Google Workspace, spreadsheets, documents, and online platforms. Ability to create professional written communication, reports, notes, and updates. Ability to maintain confidentiality and handle sensitive information with professionalism. Strong time-management skills and ability to prioritize competing responsibilities. Comfortable learning new platforms, tools, systems, and posting processes. Reliable, proactive, and able to work independently with limited supervision. Valid driver's license and reliable transportation for approved business-related travel when needed. Preferred Qualifications Master's degree in Business, Business Administration, Communications, Marketing, Management, or a related field. Bilingual English/Spanish preferred. Experience supporting executive leadership, business owners, pastors, churches, ministries, nonprofit organizations, or faith-based environments. Experience in communications, public relations, marketing, digital media, or brand messaging. Experience operating multiple social media networks and online platforms. Experience with content calendars, scheduling tools, online advertising platforms, job posting platforms, and business listing platforms. Strong writing ability for emails, announcements, captions, reports, and professional communication. Experience coordinating events, meetings, presentations, community activities, or outreach efforts. Ability to anticipate needs, solve problems, and keep the manager organized.
Compensation and Benefits Salary range:
$36,000-$42,000 per year , based on experience and qualifications. Benefits included, subject to eligibility and company policy. Company phone provided.
