Job Description

Personal Assistant to Salon Founder Position Summary We are seeking a highly organized, proactive, and resourceful Personal Assistant to provide comprehensive support to the Salon Founder. This role requires a professional who can manage executive-level administrative responsibilities, coordinate business and personal priorities, and serve as a trusted partner in helping the Founder operate efficiently and effectively. The ideal candidate is detail-oriented, adaptable, discreet, and capable of anticipating needs in a fast-paced, entrepreneurial environment. Key Responsibilities Executive & Administrative Support Manage the Founder's calendar, appointments, meetings, and travel arrangements. Coordinate daily schedules and prioritize competing commitments. Screen and respond to emails, calls, and correspondence on behalf of the Founder. Prepare meeting agendas, presentations, reports, and other business documents. Track action items and follow up on deadlines and ongoing projects. Business Operations Support Assist with special projects and strategic initiatives. Coordinate communication between the Founder, salon leadership team, vendors, and partners. Maintain organized records, files, and business documentation. Support operational tasks to ensure smooth day-to-day business functions. Conduct research and gather information to support business decisions. Client & Brand Support Assist in maintaining relationships with key clients, partners, and industry contacts. Support event planning, networking opportunities, and community engagement activities. Help coordinate brand collaborations, promotional campaigns, and salon events. Ensure a high standard of professionalism in all communications representing the Founder. Personal Assistance Manage personal appointments, reservations, and errands as needed. Coordinate personal and professional travel arrangements. Assist with household or lifestyle-related administrative tasks when requested. Handle confidential information with the highest level of discretion. Real Estate & Property Management Support Assist the Founder with the administration and coordination of residential and commercial real estate properties. Liaise with tenants, property managers, contractors, and vendors regarding property-related matters. Coordinate maintenance requests, repairs, inspections, and property improvement projects. Track lease agreements, renewals, insurance policies, and key property deadlines. Organize property documentation, contracts, invoices, and financial records. Schedule property viewings, meetings, and appointments with real estate professionals. Conduct research on properties, market trends, and investment opportunities as requested. Assist with the management of property-related communications and follow-up actions. Support the Founder with special projects related to real estate acquisitions, sales, renovations, and portfolio management. Project Coordination Track project timelines and deliverables. Assist in planning and executing business growth initiatives. Coordinate meetings and ensure follow-through on key objectives. Identify opportunities to improve efficiency and organization. Qualifications Previous experience as a Personal Assistant, Executive Assistant, or similar support role. Exceptional organizational and multitasking abilities. Strong written and verbal communication skills. Proficiency with Google Workspace, Microsoft Office, and Canva. Familiarity with social media platforms and basic marketing support including editing. Ability to work independently and manage multiple priorities. High level of professionalism, discretion, and confidentiality. Strong problem-solving skills and attention to detail.
