The School is open to all students regardless of race, religion or creed. We offer language, cultural, and dance and classes to students of all ages. Activities are designed to provide a positive and enriching learning experience for students in the classroom, at home, and in the community. The Program Associate manages the administrative details related to the organization's ongoing programmatic activities. They are responsible for furthering the day-to-day tasks that advance programming goals and services. The position is also responsible for supporting the implementation of activities of various projects and special events across the organization, but primarily those managed by the School Director whom this position will report directly to.

RESPONSIBILITIES
Program Support (40%): Support timeline management and assist with meeting target deliverables on schedule. Support coordination of special programming to support outreach and engagement efforts. Draft social media posts, assist engagement strategy for special programming, coordinate website updates. Coordinate public information and distribution of program-related activities and messages through web announcements, email-blasts, blog posts, special event promotion, etc. In partnership with instructors, support the establishment and execution of evaluation tools for on-going assessment of programs (via SurveyMonkey, Google Forms, etc.) Support logistics of program and event planning (i.e. program/event coordination; room reservation; volunteer management; RSVP tracking; food orders; supply purchases.) Periodic travel as needed (i.e. to transport costumes and props). Manage organizational calendar - update as needed. Monitor website program contents and disseminate/monitor as needed. Alert appropriate staff of any changes, as needs arise. Office Administration (35%) Coordinate scheduling, meeting requests and calendar and provide weekly and monthly reporting. Provide staff/board meeting support including logistical set-up, email communication, note-taking and document preparation. Conduct basic bookkeeping tasks, including: collecting and organizing receipts, overseeing spending, reconciling credit card statements, and process invoices, receipts and general expense items for programs and posting them to the correct ledger. Prepare bank deposits. Maintain historical records by accurately filing documents. Handle all incoming and outgoing mail and packages including recording of all checks. Order office and program supplies. Other administrative duties. Database Entry (25%) Create, update and maintain detailed records of key organizational contacts that includes students, alumni, prospects, donors, staff, media and community partners as well as attendance, donations, performance requests, performances, and accounting. Run reports as needed. Support other database projects as needed. Other duties as assigned.
QUALIFICATIONS
Be a US citizen or a legal resident. Have a four-year college degree. Have 2-3 years experience in program administration and database management Have a strong interest in working with the Filipino community, especially with children, culture, language, and education. Proficiency in general computer and web-based technology skills including word processing, database management, e-mail marketing systems. Proficient in Microsoft Outlook tools (Outlook; Word; Excel; etc.) Ability to work independently as well as in a team-oriented environment. Excellent writing and editing skills required. Strong research and analytical skills. Experience using and managing various sources of online social media. A creative and strategic thinker, one who likes to think out-of-the-box. Positive, animated, and energetic. A good sense of humor. Strong attention to detail. Remain consistent, organized and reliable under pressure. Strong skills in following-through, finishing what is started, and striving for excellence. A relentless work ethic and a high degree of patience to work through difficult challenges. Desire to learn and grow professionally with the ability to accept and implement feedback received for real-time improvement. Uses data to drive decisions and ensures high levels of accountability. Someone who has the ability to work in a fast-paced environment while making adjustments and prioritizing needs of staff and students. Demonstrate excellent judgment and ability to solve problems. Have a valid driver's license and good driving record. Have access to a car as there are times you will be needed to transport/deliver items. Ability to lift up to 50 lbs. as needed.
DURATION
Part-time, per diem (busy months are February, April, May, June, August, September, October, November and December)
SALARY:
Hourly. Compensation based on experience and credentials. Training, program supplies, other resources and equipment will be provided by the School.
