Personnel & Team Culture Coordinator Synergi Orthodontic Specialists•Rancho Cucamonga, CA Job Type Full-time or Part-time (Hybrid Role) 15-40 hours per week depending on experience and role fit Schedule Flexible schedule based on responsibilities Combination of in-office and remote work (Hybrid)

This role bridges human resources, employee engagement, and operations to ensure team members feel valued, supported, and aligned with the practice's mission: "Making Orthodontics the BEST part of your day!" Key ResponsibilitiesHuman Resources & Personnel Management Maintain confidential and compliant personnel files Coordinate hiring, recruiting, and candidate pipeline ("ready-to-hire bench") Support onboarding and employee transitions Assist with performance reviews and improvement plans Anticipate staffing needs for growth and coverage Employee Benefits & Compensation Support Serve as point of contact and coordinator for: Health insurance Aflac 401(k) PTO and sick time Track benefits and ensure compliance Coordinate open enrollment and employee education Onboarding Systems & Digital Infrastructure Own and improve onboarding systems Digitize training, SOPs, and checklists Track onboarding KPIs (training completion, retention, time-to-productivity) Continuously refine onboarding experience Systems & Workflow Optimization Identify inefficiencies and implement solutions Create and maintain SOPs Improve communication and team coordination systems Support accountability systems across departments Data, Reporting & Accountability Track and report on: Retention Attendance Overtime PTO usage Team satisfaction Provide monthly insights and recommendations to leadership Audit timecards and payroll trends for accuracy and efficiency Proactive Workforce Planning Forecast hiring needs based on growth and production Maintain a strong candidate pipeline Continuously evaluate team structure and role efficiency Uniforms, Branding & Supplies Manage ordering, inventory, and distribution of uniforms Coordinate branding and apparel design Track budget and inventory systems Team Culture & Engagement Plan birthdays, work anniversaries, and team events Manage team culture budget Lead engagement initiatives and morale-building activities Conduct regular team check-ins Support a positive, accountable, and growth-oriented culture Operational Support Assist with schedule management and coverage planning Review daily timecards for accuracy and compliance Support consistent policy adherence Skills & Attributes Strong interpersonal and communication skills Highly organized with attention to detail Ability to handle confidential information professionally Problem-solver with a proactive mindset Tech-savvy and systems-oriented Balanced approach of empathy, accountability, and leadership Comfortable managing multiple priorities independently Success in This Role Looks Like Team members feel supported, appreciated, and aligned Systems are organized, efficient, and scalable Hiring and onboarding run smoothly Leadership receives clear, actionable insights Culture is positive, energized, and growth-focused Why This Role is Unique This is not a traditional HR position.
