$45,000-$60,000/year (based on experience) Summary of action : The Sales Administrative Assistant is responsible for maintaining the accuracy, organization, and efficiency of all sales systems and processes. This role requires a highly detail-oriented and process-driven individual who ensures that data is accurate, workflows are followed, and documentation is complete. The primary objective is to eliminate friction from the sales process so that Business Development Managers and Account Managers can focus on revenue generation and client relationships.
Essential Functions:
System & Data Management Maintain accurate and up-to-date data across all sales systems Ensure all opportunities, accounts, and projects are properly tracked Monitor data quality and completeness Process Enforcement Ensure all required fields, documentation, and workflows are completed Hold team members accountable to system usage and standards Identify and correct gaps in process execution Proposal & Bid Support Assist in assembling proposals and bid packages Format and organize submission materials Track bid deadlines and submission requirements Follow-Up Tracking Monitor bid timelines and follow-up schedules Provide reminders and updates to the sales team Identify stalled or inactive opportunities Documentation & Handoff Support Prepare project documentation for handoff to Account Managers and operations Ensure all required materials are complete and accessible Maintain organized file structures and records Reporting Generate weekly and monthly sales reports Track pipeline activity, data accuracy, and key metrics Highlight gaps, risks, and inconsistencies
Metrics:
set yearly and individually depending on company growth goals and operational stability Data accuracy and completeness System compliance Timeliness of reporting Process adherence Administrative turnaround speed Strong organizational and administrative skills High attention to detail and accuracy Experience with CRM systems (Monday preferred) and Excel Ability to manage multiple tasks and deadlines Strong communication and follow-up skills Capable of working with minimal supervision
