West Hollywood, CA OT Studios, Inc. is a boutique pediatric therapy studio offering Occupational Therapy, Physical Therapy, Speech Therapy, and Social Skills Groups in a creative, high energy environment. We are expanding into a brand new space and are looking for an exceptional Administrative Assistant to become the backbone of our front office. This role is perfect for someone who is organized, disciplined, proactive, and thrives in a very fast paced, people focused setting. Responsibilities Greet families and clients with professionalism Answer phones, emails, and texts on the same day they are received Schedule and manage appointments across OT, PT, ST, and groups Verify insurance and manage authorizations Maintain patient records and ensure HIPAA compliance Support therapists and leadership with daily administrative needs Keep the front office organized, stocked, and running smoothly Qualifications Previous experience in a medical, therapy, or healthcare office preferred Strong organizational and multitasking skills Excellent communication and customer service skills Comfortable with scheduling software and basic tech tools Detail oriented and dependable Loves working with families Positive, solution oriented attitude What We Offer A beautiful, newly designed boutique clinic space Supportive, collaborative team environment Opportunity for learning and growth Meaningful work making a real impact on children and families
