As we continue to expand our operations, we are seeking a diligent and organized Office Assistant to join our team and contribute to our mission of restoring peace of mind to our clients.
Position Overview:
We are currently seeking an Office Assistant to support our administrative functions and assist in the smooth operation of our office. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment. As an Office Assistant, you will play a key role in coordinating administrative tasks, managing customer inquiries, and supporting our team of restoration professionals. The Office Assistant position is currently a part time ~20hrs/week position.
Responsibilities:
Greet clients and visitors in a professional and friendly manner Answer phone calls, respond to inquiries, and direct calls to the appropriate team members Assist with scheduling appointments and dispatching technicians to job sites Manage and organize office documents, files, and records Perform data entry tasks accurately and efficiently Coordinate with vendors, suppliers, and subcontractors as needed Assist in preparing and sending invoices, estimates, and other documents to clients Monitor inventory levels and order office supplies as needed Communicating with referring parties
Requirements:
High school diploma or equivalent; additional certification or training in office administration is a plus Proven experience in an administrative role, preferably in a similar industry Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software Excellent communication skills, both verbal and written Strong organizational and multitasking abilities Ability to work independently with minimal supervision Attention to detail and accuracy in data entry and record-keeping Prior experience in customer service is desirable Knowledge of water damage restoration or related industries is a plus Highly organized Self starter, motivated worker Able to prioritize duties and complete time sensitive tasks effectively
