The ideal candidate will manage the daily reception and administrative operations of our multi-faceted psychology practice. This individual will serve as a valued member of our team and the "face" of our practice, ensuring clients receive a warm, welcoming experience and that the intake process is smooth, supportive, and professional. Responsibilities include coordinating front desk activities, answering calls, scheduling appointments, assisting with billing, and supporting daily office operations. Job Responsibilities Respond to new patient/client inquiries via phone, email, or other communication methods, and assist with scheduling appointments with appropriate providers. Help clients feel comfortable during what can often be a difficult first call by assisting with insurance verification, benefits questions, and explaining the intake process. Manage provider schedules and coordinate appointments using our electronic medical records system. Maintain accurate documentation of pertinent conversations and scheduling updates. Oversee patient flow, manage incoming calls, and coordinate the daily flow of the office. Serve as a central support figure for daily office operations and communication. Complete daily billing tasks, process transactions, submit insurance claims, and manage accounts receivable (AR). Follow up on claims, verify insurance benefits, and obtain authorizations as needed using our integrated scheduling and billing system. Maintain a general understanding of health insurance guidelines and stay informed regarding billing updates and procedural changes. Handle medical records, including faxing, sending, receiving, and securely maintaining confidential patient information. Additional Responsibilities Draft correspondence and other administrative documents Coordinate appointments for multiple providers Greet and assist onsite patients/clients Answer inbound phone calls professionally and compassionately Maintain organized filing systems and daily office procedures Assist with additional administrative and office tasks as needed Qualifications Previous experience in office administration or a related field is preferred, but onsite training and support will be provided Ability to prioritize tasks and multitask effectively Excellent written and verbal communication skills Strong attention to detail and organizational skills Friendly, personable, and engaging demeanor Experience with medical billing is a plus Add expected hours per week (Starting up to 20 hours) Software experience if relevant (Spruce, Square, EMR systems, DocuSign, Microsoft Office Suites, etc.) "This role is ideal for someone compassionate, organized, and interested in contributing to a positive mental health care environment."
