Job Description

ROLE OVERVIEW
The Personal Assistant will provide high-level administrative support to our senior executives, ensuring the smooth functioning of the executive office. This role requires impeccable organizational skills, attention to detail, and the ability to handle sensitive information with utmost confidentiality.
JOB PRIMARY REQUIREMENTS
Bachelor's Degree At least 2 years Executive Assistant experience. Strong organizational and administrative skills High attention to detail and accuracy Proficient in planning and time management Excellent computer skills (savvy in using MS 365, Zoom, and other software)
PRIMARY RESPONSIBILITIES
Organize Email inbox, respond and communicate as directed Organize invoices, AP/AR, and make payments as necessary Mail organization, scanning, labeling and electronically submitting information Schedule calls and appointments with team members and add to digital calendar, text appointments to KVP in the morning. Be a liaison to KVP and team members for all entities. Weekly errands ie grocery, dry clean, home care, walk and care for a dog. Send end of day summary for KVP's action items Cut expenditures were appropriate.
GENERAL RESPONSIBILITIES
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Weekly expense report for Executive Keeps oversight and point of contact at the Corporate office. Represents the executive by attending meetings in the executive's absence; speaking for the executive Keeps oversight and point of contact at the Corporate office. Maintains customer confidence and protects operations by keeping information confidential. - Completes special projects requested by President Prepares reports by collecting and analyzing information. Secures information by completing data base backups Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions Run errands when needed (
Ex:
dry cleaning drop off and pick up, ordering and picking up lunch, etc.) Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies Contributes to team effort by accomplishing related results as needed 10+ a week of errands
