Job Description

Administrative Assistant/Work Control Coordinator National Management Resources has provided facilities management services for over 40 years. We work in educational settings, including K-12 facilities, boarding schools, colleges, and universities all over the country. We offer competitive wages. We are looking for an Administrative Assistant to supervise all workflow operations for the Facilities Department as well as manage day-to-day office operations, including public relations and human resources functions.

Administrative Assistant/Work Control Responsibilities:
  • Administer the computerized work order system and provide orders to proper employees.
  • Receive telephone, email, radio, and walk-in requests for service.
  • Assist department supervisors or service technicians in parts location or pricing and/or coordinate or contact outsourced services as requested.
  • Maintain a purchase order system.
  • Order supplies, maintain records, arrange appointments, and prepare reports.
  • Administer time system for all departments. Prepare payroll for submission.
  • Maintain personnel records including employment applications.
  • Conduct employee orientation for new National employees, to include review of the National personnel policy handbook, review of benefits, review of account policies, department policies and procedures, and initial safety training. Maintain strict confidentiality. Accurately use Microsoft Word, Microsoft Excel, Microsoft Outlook, copy machines, and 2-way radio equipment.
  • Assist the Director as needed.
  • Performs other duties as assigned.
Administrative Assistant/Work Control Qualifications:
Have a valid driver's license Lift objects (up to 20 pounds) Sit for long periods of time
Administrative Assistant/Work Control Experience:
  • 2 years Administrative Assistant/Office experience Passing a Drug Screening and Background Check is required for employment.
