The ideal candidate will serve as the first point of contact to greet our clients and visitors and determine the reason for their visit. You will support the staff by managing various administrative tasks and clerical duties including answering phones, making copies, and organizing files. When necessary, you will also input information into our database to ensure our electronic files are updated. We prefer candidates who have some office/administrative support experience, but we are willing to train the right person. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment. Duties Greet and welcome visitors in a professional manner, ensuring a positive first impression. Manage incoming calls using phone systems, directing inquiries to the appropriate personnel while maintaining excellent phone etiquette. Perform clerical tasks including data entry, filing, and maintaining organized office records. Provide customer support by addressing client inquiries and resolving issues promptly. Assist with office management duties such as ordering supplies and maintaining inventory levels. Coordinate appointments and meetings, ensuring efficient scheduling for staff members. Utilize computer literacy skills to manage electronic communications and documentation effectively. Experience Previous experience in a receptionist or administrative assistant role is preferred but not mandatory. Proficiency in clerical tasks including data entry and file management is essential. Familiarity with office management practices and customer service techniques is highly desirable. Strong computer skills are required, including experience with office software applications. Excellent communication skills, both verbal and written, are necessary for effective interaction with clients and team members.
