Spartanburg, SC The Administrative Assistant for Academic Affairs provides front-office, clerical, and administrative support for Academic Affairs. Responsibilities include reception duties, administrative support for designated Academic Affairs centers, assistance with meetings and events, support for routine personnel-related processes, and other administrative duties as assigned. Job Related Minimum Required Education and Experience Typically holds a high school diploma or GED. Requires 1 or more years of job related experience. Required Certification, Licensure/Other Credentials Preferred Qualifications Bachelors degree and 2 years of administrative experience or equivalent. Spanish language proficiency preferred. Knowledge/Skills/Abilities Successful background check is required. Multi-tasking and priority management; working independently and negotiating constant interruptions; excellent written and verbal communication skills; excellent problem-solving and reasoning skills; ability to maintain efficiency and a high level of detail in a fast-paced environment. Job Duties Job Duty Provide front desk and office support for Academic Affairs. Greet visitors, answer and direct phone calls, handle incoming and outgoing mail, and respond to routine questions. Assist designated centers and staff with routine administrative tasks such as ordering supplies, scheduling meetings, processing receipts and deposits, and preparing basic reports as requested. Essential Function Yes Percentage of Time 20 Job Duty Assist with organizing and setting up meetings and events for Academic Affairs, designated centers, and Faculty Governance Committees. Schedule rooms, arrange catering, track RSVPs, prepare meeting materials, distribute information, make travel arrangements, gather receipts and process reimbursements, and submit requests to Information Technology and Facilities Management. Attend events as requested and assist with coordinating event-related needs with Special Events and University Marketing and Communications. Provide assistance to event speakers and guests as needed. Provide general administrative support before, during, and after meetings and events. Hold a travel card and follow university purchasing and travel procedures when using university-issued cards. Assist in training Office of the Provost student employees to help with events & logistics. Essential Function Yes Percentage of Time 30 Job Duty Assist with preparing, routing, tracking, and processing routine HR-related actions for Academic Affairs centers, including new hires, rehires, adjunct appointments, affiliate appointments, and dual appointments in HCM PeopleSoft and PeopleAdmin. Essential Function Yes Percentage of Time 15 Job Duty Provide administrative support to the HR Coordinator for Academic Affairs during peak workload periods. Assist with hiring-related tasks and other routine HR support for faculty, staff, and students associated with Academic Affairs. Follow university Human Resources policies and procedures when completing assigned tasks. Essential Function Yes Percentage of Time 15 Job Duty Assist with receiving and forwarding communications on behalf of Academic Affairs. Assist with maintaining Academic Affairs social media pages and updating content as directed.
