This position is Mon-Fri and could require some travel.

The Administrative Specialist will facilitate the efficient operation of the assigned department by performing a variety of specialized tasks, such as reporting, data analysis, and clerical and administrative tasks.Essential Duties and Responsibilities:
Answering and transferring phone calls, as well as responding to and resolving administrative inquiries and questions. Handling correspondence, assisting with budgeting and expenses, managing databases, and preparing reports. Maintaining digital/physical filing systems, creating, updating, and organizing documents, reports, and presentations. Supporting financial tasks, such as tracking expenses, processing invoices, and assisting with budget monitoring. Directing visitors and clients in a friendly and efficient manner. Maintaining confidentiality and filing systems. Managing Outlook calendars, creating meeting invites, retrieving information as requested and preparing written summaries when needed. Willing and able to assist with ongoing projects and special requests. Helping to plan events, conferences, outings. Assisting in small-scale marketing initiatives, communications for AHG corporate office and company-wide notices. Maintaining inventory and managing office supplies, purchasing and organizing. Managing the maintenance of office equipment and handling being the liaison for vendors working with AHG. Helping the office with sending out shipments through UPS, Fed Ex, and certified mail. Acting as backup for Administrative Partner when necessary. Processes receipts for monthly executive expense reports. Coordinates catering arrangements for corporate meetings and events. Crafts comprehensive meeting minutes by capturing key discussions, decisions, and action items with precision and clarity. Systematically revises monthly spreadsheets ensuring accurate project record keeping and tracking. Creates and promotes moral boosting office activities to foster a positive and collaborative workplace culture. Manages the daily reception and distribution of incoming mail efficiently throughout office departments. Assist with travel arrangements, booking hotel rooms and rental cars. Other duties as assigned. Minimum Qualifications Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Proficient in Microsoft Office Suite or related software. Excellent organizational skills and attention to detail. Basic understanding of clerical procedures and systems such as record keeping and filing. Ability to work independently. Associates degree or equivalent work experience required. Three to five years of experience in an administrative role. Bachelors degree in related field preferred. Knowledge in web-based programs, such as Canva, lucid chart, and Visio extremely helpful.Next Steps:
