This vital role ensures the smooth operation of daily office functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. Supports daily administrative operations, ensuring a functional and organized office environment. Bookkeeping responsibilities to include entering supplier/subcontractor invoices into the accounting system and invoicing customers (AIA/G702). Office responsibilities include managing front-desk reception, ordering supplies, handling mail, and providing administrative support to staff under the guidance of the Office Manager.
Duties Front Desk Reception:
Greet visitors, handle incoming/outgoing mail, and courier services.
Office Operations:
Order office supplies and maintain inventory.
Administrative Support:
Answering phone calls, managing emails, and scheduling meetings as needed.
Data and Documentation:
Maintain physical and digital filing system, update records, and create reports.
Bookkeeping Assistance:
Entering supplier and subcontractor invoices, invoicing customers, and entering credit card receipts. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Previous office experience or clerical background is preferred, but not required Strong typing skills with attention to detail for data entry and proofreading tasks Effective time management skills to handle multiple responsibilities efficiently Minimum pay is $20 per hour. Pay depends on experience.
