The Administrative Technician has latitude to exercise initiative and independent judgment to act in a lead capacity and to do related work as required.
Pay Grade:
43 Salary Commensurate with Experience and Education Minimum Qualifications Four (4) years of experience in appropriate clerical, bookkeeping, data processing or statistical work; AND High School diploma or possess a GED; OR Three (3) years of experience in appropriate clerical, bookkeeping, data processing, or statistical work; and one (1) year of college study (30 semester hours or 36 quarter hours).
PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.
Duties and Responsibilities Directs and monitors the Report Center's clerical staff operations. Answers and directs incoming telephone calls. Sorts and distributes incident reports; summons; and arrest tickets to clerical staff. Processes and files daily activity logs. Orders and maintains office supplies. Prepares and files monthly/annual statistical reports for operational and command review. Prepares or oversees the preparation of monthly statistical data submissions of TIBRS (Tennessee Incident Based Reporting System) report data to the TBI (Tennessee Bureau of Investigation). Ensures all reported TIBRS incidents are error free. Ensures the Sheriff's Office maintains less than a four (4) percent error on data submitted monthly to the TBI as required by state law. Serves as (Reporting Agency Coordinator) RAC to the TBI for the Sheriff's Office for TIBRS as required by state law. Substitutes for in-office clerical positions as needed. Opens and timely distributes incoming mail for clerical routing and daily processing. Performs other related duties as required or directed. KSAs Knowledge of TIBRS reporting standards and principles. Knowledge of standard office business practices. Skilled in the function and operation of standard office equipment, fueling system hardware and multiple software and data collection and reporting programs. Ability to perform accurate arithmetical computations. Ability to perform multiple tasks and prioritize the work load. Ability to communicate, both orally and in writing, with Sheriff's Office employees, other municipalities, and the public in the course of daily activities and to resolving situations. Ability to spell, punctuate and use grammar correctly. Ability to plan, organize and provide direction to subordinate staff in a clear and precise manner. Ability to follow up and assess the productivity of subordinate staff. Special Requirements Must pass a criminal background check. Must maintain a TIBRS certification by attending 16 (sixteen) hours of training annually. This means exemption from this policy is in effect for the following departments and positions: (1) Sheriff Deputy Patrol Officers, Deputy Jailers and Dispatchers, employed by the Sheriff Department, (2) Correction Officers employed by the Division of Corrections, (3) Firefighters, Paramedics and Dispatchers employed by the Shelby County Fire Department. The residency exemption for public safety/civil service employees does not include Appointed positions with Sheriff's Office, Division of Corrections or the Fire Department.
