This position will assist with filing, cashier coverage during lunch periods, phone coverage, vendor communication, accounts payable reporting, accounts receivable assistance, and general accounting and bookkeeping support. The ideal candidate must be professional, dependable, detail-oriented, able to multitask, and comfortable working in a busy office environment. Essential Duties and Responsibilities Assist the front office with daily administrative and clerical tasks. File documents accurately and maintain organized physical and electronic records. Fill in for the cashier during the current cashier's lunch break and provide backup coverage when needed. Run reports and provide administrative support for Accounts Payable, including payment tracking, report preparation and statement-related tasks. Assist with Accounts Receivable tasks, including payment tracking, report preparation, customer follow-up support, and statement-related tasks. Provide support with accounting and bookkeeping duties, including data entry, record keeping, and maintaining accurate office and financial records. Answer, screen, and direct incoming phone calls to the appropriate sales staff or department. Answer phone calls from vendors and communicate with vendors by email for billing questions, follow-up requests, document needs, and general support. Assist with Excel spreadsheets, reporting, and other computer-based office tasks. Distribute incoming invoices, statements, and correspondence to the appropriate personnel. Provide backup support for other front office functions and assist management with special projects as assigned. Maintain professionalism, confidentiality, and a strong customer service attitude in all interactions. Required Qualifications Bilingual in English and Spanish. Strong Excel skills and overall computer proficiency. Strong organizational skills and attention to detail. Ability to multitask and prioritize work efficiently. Ability to work in a fast-paced environment. Professional verbal and written communication skills. Dependable, punctual, and able to work well with a team. Ability to handle confidential company and financial information professionally. Willingness to work a 35-hour weekly schedule: Monday-Friday 9:00 a.m.-4:00 p.m. and Saturday 9:00 a.m.-2:00 p.m. Preferred Qualifications Previous office, receptionist, cashier, administrative assistant, or accounting support experience. Experience with accounts payable, accounts receivable, bookkeeping, or general accounting support. Experience answering multi-line phone systems. Experience working in a parts, truck, trailer, warehouse, or distribution environment. Cash handling accuracy and basic reconciliation experience. Additional Strengths That Would Be Valuable Professional email etiquette and confidence communicating with vendors and customers. Ability to learn company software and internal procedures quickly. A strong sense of urgency and follow-through. A team-oriented attitude and willingness to assist where needed. Stable work history and good attendance.

$15.00 - $18.00 per hour
